Lower Gathering Space at the Church
Tuesday, September 27,2022 @ 6:30 p.m.
Call to order was made by Abby Jaeger at 6:32 p.pm. and Nicole said the Opening Prayer
Those in attendance are: Father Paul Baldwin, Diane Deppe Haag, Jeff Hoeger, Jim Loes, Nicole Vernon, Abby Jaeger, and Denise Miossi.
Approval of the June 7th minutes: A motion was made byDenise and 2nd byNicole.
Committee Reports:
Finance Council:
Financial Report: Budget has been approved for the year,we are in the black are in the good.
Archdiocesean Annual Report:Insurance Agent Rich Earls was here and Dave walked through with him. Playground needed more pea gravel and the parents etc.worked on putting it in
Buildings and Grounds: The Dishwasher for the parish kitchen is being replaced and has been approved by Finance Committee. Michael is getting info and bids on the cost of the dishwasher. Looking at a grant through the state to go towards it. May gets some dollars from Castle Grove saving to go towards it also.
Board of Education: Gala is in full swing. Andrea Chapman is taking over as Secretary of the school and doing art part time. Pam Foley will help with long term sub as a music teacher and mass music along with The Christmas Program
Liturgy Committee: 1 RCIA candidate. We are getting a number board to show what songs are being played during mass.
Parish Life Committee: KOC breakfast for Chase Sternhagen, we need to switch mass’s to help the breakfast work better
Parish Guild: Connie Goldsmith is reporting that they served 225 meals. Approx $7000 brought in. Low numbers, but we also had a lot of donations so that kept costs down. It will take a few years to take hold and grow.
Priest’s Deanery Council: ArchdiocesanOne campaign end the beginning of October. Pastoral planning will continue

June 7th, 2022 6:30 p.m.
Lower Gathering Space in Church
Call to order: Father Paul called the meeting to order. Those in attendance are: Michael Wolken, Ryan Sperfslage, Denise Miossi, Jim Loes, Diane Deppe Haag, Abby Jaeger, and Nicole Vernon(via cell phone) Jeff Hoeger.

MInutes of the last Parish meeting: Jim Loes made a motion to approve the minutes and Denise seconded it.
Finance Committee: Jim reported that the Church is a little ahead of the budget. We have a nice balance from giving and the holidays. Other giving and donations are staying strong.
Buildings and Grounds: Marv Kelchen and Dave Haag reported that the security camera was installed for the playground. It can be monitored via an app that Father has. There are few problems with kids on mopeds etc. that need to be addressed. The police would like access to the video feeds to check out that and any future incidents. Marv and Dave are also suggesting to lock the doors of the church when mass starts and have ushers check areas of the church (closest, bathrooms,etc) for safety in case of any unusual activity. They said they will make a security/safety plan. They also talked about the 5-10 year plan for keeping up the the buildings and grounds. Those include getting the church tuck-pointed, working on the bell tower, any repairs to the stained glass windows, etc., Many big expenses coming up and may have to borrow money for these expenses.
Board of Education: Ryan reported that they have a full staff this year and a 6th grade class again, but still need a art and music teacher.
Liturgy Committee: Father Digmann and Father Mark Murphy from Campus ministries will come into church to make an appeal for donations.
Parish Life: Father Pauls Jubilee was a great success with a super turnout.
Parish Guild: The Spring Drive through Fish Fry was a great turn out. Planning ahead for Fair Parking.
Priest Deanery: The Capital Campaign ArchdioceseOne will start in August and end in October and run for 10 weeks. Asking pledging for different areas to help with the Diocese areas that need help with funds. Taking a survey to help plan for the future.
New Business: We welcome new members of the Parish Council, Abby Jaeger and Nicole Vernon.
Election of new officers: Chairperson, Vice-Chairperson, and Secretary took place with the results as follows,

Pastors Comments: Secretary position, Father is writing up a new job description and making the job a 3 day a week position @ $15 per hour. Father wants to appoint a new NCYC Leader to replace him.

2021 Minutes
Parish Council Meeting – March 30, 2021
Dale Hosch called the Parish Council meeting to order at 6:32 pm. Present were: Father Paul, Ann Norton, Ryan Sperfslage, Dale Hosch, Jim Loes, Diane Haag and Denise Miossi. Dale Hosch led the opening prayer.
Jim Loes made a motion to approve minutes from the previous meeting; Diane Haag seconded. The motion carried.
Report from the Finance Committee: Doing PPP application for an additional $123,000 (for salaries, etc.). Ryan Sperfslage made a motion to approve the budget proposed by Finance Council; Ann Norton seconded. The motion carried.
Report from Buildings & Grounds: Concrete issues on Sycamore. City is aware. Talking to city about taking cost to repair off assessment. Need 2nd restroom for after care. Will update toilet, etc. in upstairs bathroom and use that one. Looking to update the church basement gathering space to LED lights.
Report from School Board: Need to replace the plastic playground equipment. Ordered new computers and will be ordering new smart boards. School Principal resigned and position is open.
Report from Liturgy Committee: Holy week services will be live streamed. Capacity is still limited as COVID guidelines are in place.
Report from Parish Life Committee: Soup supper was a great success! Donations raised will provide Food Pantry 2 months of Fareway Food Cards ($2500). Nice article in the Express!
Report from Parish Guild: Fish Fry was a great success! Final numbers are not available yet but received $8,300 in donations in advance and $15,500 on the night of Fish Fry, with more donations still coming in!
Report from Deanery Council: Priests will be getting raises.
Stewardship Directory will need to be updated again. Need to see if people are still interested in what they signed up for. Add to future agenda.
New Business: Father Paul made motion for Shelly Monck to be Vice Chair for Parish Council; Jim Loes seconded. Motion carried. Diane Haag made motion for Ann Norton to be Chair for Parish Council; Denise Miossi seconded. Motion carried. Members of Parish Council will take turns taking minutes at each meeting.
Pastor’s Comments: Due to parade, July 4th mass will be at 8:00 instead of 8:30. Sacred Heart & St. Luke’s Sunday mass schedules will be flipped on the 11th.
The next meeting will be on September 21st at 6:30 pm, with prayer led by Jim Loes. Ryan Sperfslage made a motion to adjourn the meeting at 7:20 pm; seconded by Ann Norton. The motion carried. Dale Hosch led the closing prayer.

Sacred Heart Pastoral Council Minutes
Tuesday, October 27, 2020
The Sacred Heat Pastoral Council met via electronic Zoom due to the COVID19 virus, on Tuesday, October 27, 2020 at 6:36 P.M. with a prayer led by Jim Loes
Call to order was made by Father Paul, as Dale Hosch was out in the field and Clint Gray was having trouble connecting to the meeting. Those attending included: Father Baldwin, Dianne Deppe Haag, Shielly Monck, Ann Norton, Denise Miossi, Ryan Sperfslage and Clint Gray. Ryan Sperslage moved to approve the minutes from the August meeting, with corrections made to the spelling of last names. Denise Miossi seconded. Motion passed.
Finance Council: Jim Loes reported. The taxa payment that is owed to the Archdiocese of Dubuque, is $8,072.00.
Buildings and Grounds: Father reported on the ceiling issues at Sacred Heart School. There are cinder type blocks that are built-in as part of the ceiling in each room. They are showing signs of deterioration. Some have broken down and fallen in a couple of rooms. To repair each ceiling could be a costly project. Dave Haag & Marv Kelchen will contact someone to take a look to see what can be done to prevent further deterioration.
$13,000.00 was taken from the Castle Grove fund to complete the front steps of the church. This closed out the account in Dubuque.
Mulch and rock were added to the Marion Gardens to make it more permanent and maintenance free. The east vestibule is done and 100% paid from donations. The west vestibule project is in the fundraising stage and has $1,100.00 donated with an estimated budget to complete the project at $9,800.00
Board of Education: Ryan Sperfslage reported that around $8,500.00 has been received for the “No Party” Gala so far. The reading & math curriculum will need to be updated, along with smart boards in each room, computers and smart pads.
Liturgy Committee: Sign up genius will be used for ornament for the Giving Tree. Poinsettias will be ordered through Century House. Father Joseph Mary Wolfe of EWTN will be offering mass on Sunday, November 8, 2020 at Sacred Heart at the 10:30 A.M. mass. Deacon Ed will assist. Father Wolfe is Diane Welters brother.

Confirmation will be at St. Luke parish on April 24, 2021 at 10:30 A.M. Per instruction from the Archbishop, it will be a celebration outside of Mass. The candidates are limited to having just their sponsor, parents and grandparents in attendance. This includes no siblings at the service. There will not be a reception at the Church following the service.

Sacred Heart Guild: The drive through fish fry was very successful. Net income may be around $16,000.00
Priest Deanery Council: Statistical information was handed out containing data from the Archdiocese.
New Business Sacred Heart School will be 100 years in 2022, along with St. Luke parish.
Pastor’s Comments: Father is looking forward to his retirement on July 13, 2032 when he will be 70 years old. Father will meet with two enthusiastic girls who wish to raise money for the food pantry by having a drive through soup supper of chili and chicken noodle soup. This will be a free will offering.

Tuesday, March 31, 2020
The Sacred Heat Pastoral Council met via electronic Zoom due to the COVID19 virus, on Tuesday, March 31, 2020 at 6:45 P.M. with a prayer led by Father Paul.
Call to order was made by Vice Chair, Clint Gray as Dale Hosch was having trouble setting up. Those attending included: Father Baldwin, Dale Hosch, Dianne Deppe Haag, Shielly Monck, Ann Norton, Denise Miossi and Clint Gray. Denise Miossi moved to approve the minutes from the January meeting. Ann Norton seconded. Motion passed.
Finance Council: Jim Loes reported that due to the COVID19 virus and quarantine, mass has not been celebrated on Sundays, at the church, therefore donations are not coming in. Because of this, parishioners will be receiving a letter from Father Baldwin outlining ways parishioners can still be giving to the church so that operations can continue without interruption.
The taxa payment that is owed to the Archdiocese of $7,500.00 this month needs to be paid. However, when it is paid, it will be returned to Sacred Heart by the Archdicese so that we can pay it at a later date, due to the financial strain it would cause at this time. Payments received for the building fund will be used in the general fund at this time.
The city’s assessments total for Sycamore Street renewal, for Sacred Heart, is $14,987.81. We have the option to pay in full or pay in installments with a 2.50% rate. Father will check with Rick Runde to see if financing is available with the Archdiocese at a lower rate.
At 7:05 P.M., Clint Gray yielded the chair back to Dale Hosch, who was able to connect via Zoom.
Buildings and Grounds: Construction on the West steps has begun. The total cost of the project, including the sidewalk, is $78,002.00. A group will be formed to decide what landscaping will occur in the green space. That proposal will come before the Pastoral Council for approval.
Board of Education: Teresa Wolken absent. No report. Due to COVID19, Father reported that the school, along with the church, is being deep cleaned during this time. Since school has been cancelled, the building will remain closed until the situation changes.
Liturgy Committee: Father reported that Holy Week and Easter will not be celebrated with all parishioners present, due to COVID19. He will be celebrating with Deacon Ed, and try to have music and someone to read, and stream the mass on Facebook. He will also try to stream the Stations of the Cross.
Parish Life Committee: No report
Sacred Heart Guild: Fish Fry will be post phoned until a later date. Money donated toward the Fish Fry, will be held until a decision about rescheduling is made. The raffle will still be held.

The Sacred Heat Pastoral Council met in the Upper room at the Sacred Heart Parish Office on Tuesday, January 28, 2020 at 6:30 P.M. with a prayer led by Father Paul.
Call to order was made by Chair, Dale Hosch. Those attending included: Father Baldwin, Dale Hosch, Teresa Wolken, Shielly Monck, Ann Norton, Denise Miossi and Clint Gray. Clint Gray moved to approve the minutes from the November meeting. Ann Norton seconded. Motion passed.
Buildings and Grounds: A leak in the North tower of the church was repaired. Tuck pointing will need to be addressed.
Ann Norton made a motion to approve the bid of Accent Construction f9or $63,477.00 for replacement of the West steps leading into the church. Teresa Wolken seconded. Motion passed.
Discussion was held. Ann Norton made a motion to attach the cost of $14,525.00 for concrete work needed to finish the street project, to the first motion to be paid to Accent Construction. Clint Gray Seconded
Finance Council: The budget numbers are on target for the fiscal year. A notice to discontinue services from Honkamp was drawn up by attorney, Nick Strittmatter. Honkamp had no issues with our cancellation; however, a $150.00 termination fee has been assessed to the church. The first payroll has been processed through Ohnward Financial out of Maquoketa and was successful. Discussion was held on the duplex rental. It was decided to keep it at $575.00 and to re-evaluate this annually.
Board of Education: The school is currently on budget. Current enrollment is 84 children. A new website will be going live soon that will help with marketing the school so we can be closer to 100 students attending. Since there were not enough donations received during the Gala, the plan of building vestibules at the North and East entrances of the school has been tabled. The possibility of providing a guidance counselor to our students and families was mentioned if budget will allow.

Pastor’s Comments: There was a surplus of funds left over from NCYC of $344.36 which was donated to the fund that will help other Young adults attend. It cannot be “banked” for future NCYC trips for the parish.

2019 Minutes
Sacred Heart Pastoral Council Minutes
Tuesday, April 2, 2019
The Sacred Heat Pastoral Council met in the Upper room at the Sacred Heart Parish Office on Tuesday, April 2, 2019 at 7:06 P.M. with a prayer led by Father Paul.
Call to order was made by Chair, Dale Hosch. Those attending included: Father Baldwin, Jim Loes, Ann Norton, Clint Gray, Teresa Wolken, Shielly Monck and Marv Kelchen. Ann Norton moved to approve the minutes from the February meeting. Jim Loes seconded. Motion passed.
Old Business:
Marv Kelchen gave an update on the bidding for the steps leading into the church. These steps were installed in 1973 and will be a challenge to remove. The Archdiocese requires at least 3 bids for approval. Marv is hoping to time this project with the Sycamore street project. Marv will be contacting Accent Construction, Rogers Concrete and Superior Steel & Concrete for bids.
Dave Schilling will be contacted for brick work.
The family of Mary Norlin will donate any plantings that may be needed when the new steps are completed. The family only stipulates that Jay Iben is to landscape the project.
Marv is working on the cracks in the parking area.
Marv reported that the basement windows are losing argon gas and becoming foggy. There are 44 pane windows that will be replaced at a total cost of $2,950.00 from Chad Kraus.
Installation of the Castle Grove stations will be made by Don Loecke. This will probably be done late spring or early summer.
Many suggestions were given for the old stations. Since there is no room at the school, or in the upper or lower portion of the new addition of the church, nor in Newman hall, discussion was held as to what else could be done. Father noted that St. Stephen’s of Central City does not have stations. He will contact Father Nick March of the North Linn Cluster and see if they would be interested. Another suggestion was to contact Brother Craig Digmann to see if any parishes that he works with would be in need of stations.
Finance Council: Jim Loes reported that Sacred Heart Church is at 81% of budget on income and 72% of budget on expenses.
The “Janann Kraus Family Donation” has made a 2-bedroom mobile home available to the parish. It has a 2 stall garage, and is 20 years old. The lot rent is $205.00 per month. $8,000.00 has gone into remodeling the home. After the title is transferred and a fair market value is obtained, it will be announced at mass, along with publication in the bulletin so it can be quickly sold
Mable Kronlage donated $5,210. 00 for the improvement to the front steps of the church.
Buildings and Grounds: Jim Loes attended the city council meeting to let them know that Sacred Heart wishes to have the period lighting installed when the Sycamore Street project begins. The city said that they will carry the lighting as far north as the intersection of 4th Street and Sycamore.
Jim also noted that Mayor Wolken suggested that Kyle Martin from martin Gardner needs to get in touch with Patrick Schwickerath from Snyder and Associated to coordinate what Sacred Heart wishes for the West side of the church with the paving contractor, whether we want grass in the parking near the street, or cement.
Board of Education: Teresa reported that the last piece of the play ground equipment has arrived and will be installed when the ground is thawed.
Positions are open for a Kindergarten teacher, along with a new music teacher.
Tuition has been raised. The Board suggested to raise it $10.00 each year to keep up with expenses.
School Board elections will be approaching. Teresa plans to run again for this office. Christine Rieken is considering whether to run again.
Grandparents Day will be Thursday, May 9, 2019. There will be a 10:30 A.M. mass.
Liturgy Committee:
Parish Life Committee: Becky reported that Confirmation, along with the Post Prom mass will be areas this committee will be working on.
Parish Guild: Planning is continuing for the Fish Fry which will be held Friday, April 12, 2019 at the Berndes Center.
Deanery Council: Father gave priest projections from 2019 to 2024. Presently, there are 70 active priest. In 2023 through 2024, there will be 77. Of the 70 active priests, 36 range in age 60-69, 25 range in age 50-59, 21 range in age 40-49 and one priest age range 20-29.
From 2018-2019, of 166 parishes, 26 are single, 57 are linked and 83 are clustered.
New Business: The third weekend of May will be election time for the Pastoral Council. Ann Norton, along with Shielly Monck are completing their first term. Ann indicated that she would run again. Shielly is considering whether to run again.
Pastor’s Comments: NCYC will be from Thursday, November 21, until Sunday, November 24, 2019. There are 33 youth attending along with 30 adults. The theme is “Bless, Broken and Shared”.

Old Business:
Buildings and Grounds: Marv Kelchen informed the council of the installation of 44 pane windows were installed in the basement of Newman Hall, as the old ones were loging argon gas and becoming foggy. The removal and installation of the front steps to the church will begin in the spring of 2020.
Parish Guild: There was $700.00 taken in for parking during the Great Jones County Fair. These funds will be donated to NCYC,
Work is being planned for the Fall Festival on Saturday, September 21, 2019.
Sacred Heart Fish Fry is tentatively for Friday, March 27, 2020 at the Berndes Center.
Finance Council: Pat Recker gave an accounting of the shortage in donations received at the Sunday mass collections. Somehow the parish needs to impress on parishioners to give a little more so bills can be paid.
Board of Education: Teresa Wolken reported the PreK program has 20 full time students for the morning session for 2019/2020 and 8 students for the afternoon session. Sacred Heart staff held a celebrations to recognize the retirements of Sue O’Rourke and Lori Knuth.
Alexis Weber will be the new Kindergarten teacher. Andrea Glawatz will the associate teacher for the three-year old preschool classroom. A music teacher is still needed for the school.
Rachel Steger has been appointed to fill the vacancy left by Kim McQuillen after her resignation from the Sacred Heart School Board.
School enrollment is as follows: 18 Kindergarteners, 16 First Graders, 14 Second Graders, 15 Third Graders, 11 Fourth Graders, 8 Fifth Graders, and 5 Sixth Graders, making a total of 87 students.

Deanery Council: Father Paul gave a rep9ort about the ArchdioceseOne Special Appeal.
Major Gift Solicitations will begin in September, 2019 and go through December, 2020. To do this, the Stewardship Development Office will provide transparent information to pastors/PLC and school development officers, when we are soliciting potential major donors from the parish/cluster or school. Small group dinners will be hosted locally with major donors that are followed up with personal solicitations, when discussing personal solicitation, stress that donors not reduce local parish/cluster or Catholic school support.
Parishioner Solicitation will begin Spring of 2020 and continue through Summer of 2021. This effort will follow a ten-week plan from start to finish with the Stewardship Development Office providing all materials, instructions and support as needed to ensure success.
A Parish/Cluster Coordinator will be needed to assist in the promotion asking for gifts to be given as parishioners desire to the following:
• Seminarian Education-$15,000, 000.00
• Priest Retirememt-$15,000,000.00
• Repairs on Cathedral of St. Raphael Church and Campus Repairs-$11,000,000.00
• Catholic Charities Immigration Legal Services-$6,780,000.00.
Pastor’s Comments: NCYC will be from Thursday, November 21, until Sunday, November 24, 2019. There are 33 youth attending along with 30 adults. The theme is “Bless, Broken and Shared”.
New Business: Father reported that the Stations of the Cross, which were removed when the Stations from Immaculate Conception Parish, Castle Grove were installed, have been donated to St. Cornelius Church, Homer, Nebraska.

November 26, 2019

Dale called the meeting to order at 6:34pm and Fr. Paul let the prayer.
There being no old business Committee reports were called for by Dale.
Finance Council: Kayla Sperfslage has been hired as a part-time Bookkeeper for the Parish and School. A more cost-effective alternative to Honkamp Krueger was approved. We will now be utilizing the services of Ohnward Financial Services based out of Maquoketa, Iowa beginning January 1, 2020. The Council is also investigating a possible replacement for the copy machine but that has been tabled for the time being. Fr. Paul also appointed Jim Zimmerman to the Finance Council to replace Kayla Sperfslage as she will attend the Council meetings as a non-voting staff member.
There were no reports from the Building & Grounds Committee, the Parish Life Committee, or the Parish Guild.
Board of Education: The Board of Education has begun extensive strategic planning with Archdiocese and a national firm that they have engaged to assist the process. There are eight local members of the strategic planning committee including members of the School administration and School Board, the staff, parents, and members of the wider parish community. The School Gala was successful again this year. The auction raised $30,000.
Liturgy Committee: There are currently 24 children from eight families for the Giving Tree. This is all HACAP has for us at this time. There will be two Communal Reconciliation Services in Dyersville and New Vienna during Advent. Father will recommend our people attend one of those services if they want to go to another priest. The Christmas Masses have been scheduled as follows: 4pm at both parishes, Sacred Heart will also have 6:30pm, Midnight, and 10:30am. St. Luke will also have 8:30am.
Priest’s Deanery Council: Deacon Ed & Connie Goldsmith will be the ArchdioceseOne Appeal Coordinators for both parishes. The appeal is to assist with the restoration of St. Raphael Cathedral in Dubuque, the Priest’s retirement fund, education of seminarians, and for Immigrant Legal Services within the Archdiocese. The appeal will take place in our two parishes for ten weeks beginning May 2, 2021 and concluding on July 4, 2021. New archdiocesan guidelines for Marriage are being developed by the Family Life Office in Dubuque. They will be subject to review by the Deaneries and the recommendation by the Archdiocesan Priest’s Council for the Archbishop’s final approval.
New Business: New Stewardship materials consisting of a booklet and commitment form have been developed (Fr. Paul and Ann Norton) and has been printed by Julin Printing. The materials will be presented by Father at Mass during Advent and handed to the parishioners as they leave the Church with the initial goal of the forms being returned by December 22nd. 500 copies have been printed, 350 for Sacred Heart and 150 for St. Luke. The materials will also be posted on our joint website and Facebook pages. They will be available for future parishioners at the parish offices. Also, the Archdiocese will be providing information on political involvement. These will be available at our next meeting.
Pastor’s Comments: Father gave an update on NCYC. It was another great trip. The Archdiocese had the largest delegation from anywhere in the United States for the third NCYC in a row with 1700 youth & adults. The bake sales went over extremely well at both parishes. Any leftover funds will be donated to the Office of Youth and Young Adult Ministry in Dubuque to be used as part of their scholarship fund for youth that may not be able to afford to go to NCYC in the future. The theme for NCYC 2021 is “Ablaze” with the focus on the grace of the Holy Spirit ablaze in our hearts.
The next meeting will be on Tuesday, January 28, 2020.

Tuesday, January 30, 2018
The Sacred Heart Pastoral Council met in the Upper Room at the Sacred Heart Parish Office on, Tuesday, January 30, 2018 at 6:35 P.M. with a prayer led by Clint Gray.
Call to order was made by Chair, Dale Hosch. Those attending included: Father Baldwin, Dominic Hogan, Jim Loes, Ann Norton, Clint Gray, Shielly Monck, Theresa Wolken, Marv Kelchen and Dave Haag.
Jim Loes moved to approve the minutes from the November meeting. Regina Digmann seconded. Motion passed.
Old Business: Election of new officers for the pastoral council will be held Saturday, April 14, 2018 and Sunday, April 15, 2018. Regina Digmann and Dominic Hogan will be leaving the council.
Finance Council: Jim Loes updated the council on income and expenses. He hopes to be able to provide a financial report by the end of the fiscal year in June.
An anonymous donor cashed in securities and donated those to the church. These were able to pay for Father Baldwin’s health insurance of $10,400.00
Christmas donations were around $20,000.00. Year end donations were around $36,000.00.
Buildings and Grounds: Marv Kelchen and Dave Haag reported on items needed attention such as the louvers in the bell tower, along with the front steps leading into the church proper.
Board of Education: The amount of $3,068.51 was added to the general fund as the result of an unrestricted gift of a certificate of deposit set up in the name of the school.
At the collections for Catholic Schools, $2,054.00 was given.
Over 200 folks attended the Happy Joe’s Pizza day on Sunday, January 28th. Amount raised for the school will be available at the next meeting.

A subcommittee will be formed to oversee playground improvements. Dave Haag and Marv Kelchen will be part of that subcommittee. Currently, there is $13,000.00 on hand for the equipment. Application has been sent to DRA for an additional $15,000.00. It is hoped to have $30,000.00 to purchase the equipment.
Liturgy Committee:
A Parish Mission will be held for both parishes on Sunday, February 25, 2018 and end on Wednesday, February 28, 2018 beginning at 7:00 P.M. and ending at 8:00 P.M. Tony Digmann will be presenting. He is giving our parish a 50% discount. The total cost will be $2,500.00, plus mileage. He will give a personal testimony the first evening.

There will be 2 tables out in the gathering space for books he has written, along with his CD’s. A small reception will be held all evenings after his presentations.

Celebration of the 40th Anniversary of the Diaconate in the Archdiocese will be held this year. Rolondo and Abby Morrales will be featured in The Witness.
This will mark the Sesquicentennial or 150th Anniversary of the founding of Sacred Heart Church from 1868 to 2018.
Discussion was held as to how to celebrate this occasion. Suggestions included forming a committee and plan this to coincide with the Fall Festival which will be held on Saturday, September 15, 2018 in the Berndes Center. It was suggested that a mass at Sacred Heart Church, celebrated by Archbishop Jackels would be appropriate.

Meeting was called to order by Dale, with prayer led by Clint.
Approval of minutes from November27, 2018, were approved by Ann and seconded by Jim, with the edit from Dale that in the Building and Grounds, that he and Brian Britt and John Schlarmann took out and repaired old louvers in the church tower. But they just looked them over and noted that repairs would need to take place. Motion carried.
Old Business
Stations of the Cross– Dale reported that the Stations are getting close to being done, the artist is adding gold leaf and adding details to the faces. Dale will pick up and store until we can install them. We are still in discussion about what to do with the stations that are currently up. An idea was to have a suggestion box at the Fish Fry for parishioners to give us input. A discussion was held to use money raised for stations at Sacred Heart and use the Castle Grove funds to pay for the West steps.
AED and Intruder Training– Father Paul discussed that this was put on hold for now, because of the bad weather and re-scheduling days for meetings, we will wait to train for this until better weather.
Stewardship Committee-Father Paul said that we are still working on ways for possibly a joint Stewardship Committee between Sacred Heart and St. Luke.
Publishing Minutes of Councils and Committees– Father Paul is gathering the minutes from previous meetings going back to the beginning of his time at Sacred Heart, so we can archive them on our website. Also it was discussed if we will post in the bulletin the most recent minutes once the Board approves them. This is being done for the Pastoral Council and the Board of Education.
Committee Reports
Parish Guild: Devin Fagan reported that the cost of Fish Fry tickets will be going up to $14 per tickets for adults, due to the cost of the fish going up.
Sign up weekends for the parishioners for the Fish Fry are March 30 &31 and April 6 & 7. The Fish Fry will be April 12th at the Berndes Center.
Fair Parking- Price will go up for fair parking to $15 per car and $100 per night for campers allowing 10 campers per night. The campers will need to be out of the parking lot by 9:30 the next morning. The money coming in from the campers will go towards NCYC/Youth Ministry, and all other vehicle dollars will go toward the Guild.
Buildings and Grounds: Dave Haag presented plans for the new steps on the west side of church. The steps will be simplified and will have grass areas added to the north and the south side of the new steps. This is to soften up the west side of church and to make the new addition the main focus and the front of the church.
They are looking into having the plans on an easel in the gathering space so parishioners can see them. Clint made a motion to approve the plans for the stairs and Ann seconded it.
Marv said he would get bids for the replacement of the west stairs. Marv also said he has received a complaint about the high snow piles on the corner of the parking lot. It was noted that Dave would contact the City to see if the snow could be put in windrows in the street to be taken away for any further snow accumulations.
Dave reported that he would also talk to the City about the Sycamore Street project about adding the cement Bus Stops and have those costs go to the Church assessment. Marv reported that our new Elevator Contractor will be Schumacher Elevator of Denver IA., they will be doing all service and maintenance for $112 per month. Dave and Marv are working on the damages from the water leak in the women’s bathroom, and will be adding more insulation in the wall.
The windows in Newman Hall will have the defective glass and hardware replaced by Monti Home Improvements at a cost of $2950.00.
Father Paul also pointed out that there is a crack in 1 of the stained glass windows under the choir loft that will need to be repaired.
The Radon test in the Preschool room came back high, so Dave is contacting John Hinz to have him check it out.
The ramp to the parish office needs fixed and we should look into getting it fixed at the same time as the church steps. Marv also said the uneven sidewalks and cracked cement will need to be fixed eventually also.
Finance Council: Jim Loes discussed looking into a better accounting system, that would help to reduce and clean up accounts and to streamline our reports, with less chance for error on inputting them into there proper account. This would help with not having Honkamp do more of our bookwork than needed.
Jim also wants to continue to put out information to help parishioners understand on where the money goes to with the projects and updates that the church does. Also how the money is raised and is donated to the church.
The update on the budget report will be coming. The church is 2/3rds or 66% through the fiscal year and expenses are at 61%.
Board of Education: Teresa reported that they will raise tuition by $200.00 per student, but there will be no separate bill for books. The school had the Kindergarten meeting for the next school year. Approximately 14-15 students are enrolled for the 2019-20 school year. Teresa also reported that the school had 2 new students start school in the last few weeks.
The school is using the money from the Gala to start improvements for the doors and adding staff fobs and security cameras for the Principals and Secretary’s desks, so they can see outside the door.
Literacy Committee: Father Paul reported that he has lined up Msgr. Wilgenbush and Msgr. Walz to help with Christmas Eve and Christmas Day masses for Sacred Heart and St. Luke.
The committee is looking into giving a flower to the Mothers on Mothers Day and possibly looking into small bottles of wine for the Fathers also on Fathers Day.
Father Paul has also lined up his replacements (Father Droessler and Father Ries) for when he’s gone to NCYC the weekend of November 23-24.
New Business
October Counts: Our Archdiocese is leaving up to each Parish on if they want to keep doing the October/monthly counts or discontinue them. The council has decided to discontinue them.

The Sacred Heat Pastoral Council met in the Upper room at the Sacred Heart Parish Office on Tuesday, March 27, 2018 at 6:30 P.M. with a prayer led by Jim Loes.
Call to Order: was made by Chair, Dale Hosch. Those attending included: Father Baldwin, Jim Loes, Ann Norton and Regina Digmann. Connie goldsmith attended representing the Parish Guild.
Ann Norton moved to approve the minutes from the January meeting. Jim Loes seconded. Motion passed.
Old Business: Election of new officers for the pastoral council will be held at the weekend Masses beginning Saturday, April 14 and ending Sunday, April 15, 2018. Regina Digmann and Dominic Hogan will be leaving the council. Those that have agreed to serve on the council, if voted in, include: Diane Deppe-Haag, Clint Gray, Dale Hosch and Diane Miossi.
Changing of the Stations of the Cross: Voting to pursue installing the Stations of the Cross from Immaculate Conception Parish, Castle Grove, into Sacred Heart Church proper, were taken over two weekend masses. There are 645 families registered at Sacred Heart. Of those who voted, 150 voted yes, which is 79%; while 39 voted no, which is 21%. Dale Hosch and Julie Miller will meet with the structural engineer that approved of the cutting of the 3 door openings for the new addition for Sacred Heart, along with the insurance inspector, installation manager and restoration. All of the costs will be paid by Immaculate Conception, Castle Grove. Restoration of the stations would be between $25,000.00 to $30,000.00. Immaculate Conception has $23,500.00 on hand now. Dale made it clear that nothing would begin until all money was in hand to pay all expenses, All entities were counseled with and the placing of the present stations were addressed. After discussion, Jim Loes made a motion to pursue the addition of the stations from Immaculate Conception, Castle Grove, to Sacred Heart Church proper. Ann Norton seconded. Motion passed.
Finance Council: Jim Loes updated the council on income and expenses and presented the 2018-2019 budget. Ann Norton made a motion to approve the budget. Regina Digmann seconded. Motion passed. Jim informed the council that the debt for the new addition, which was built 7 years ago at 1% interest, was at $189,717.00. This is at 90% paid. The amount to be paid on the duplex is $115,432.00. Rent of $500.00 per month is being applied toward this debt.
Buildings and Grounds: Items needing attention include: Louvers in the bell tower, the west steps leading into the church proper, the exterior of the church windows and tuck-pointing.
Board of Education: The new principle, Laura Herfer, will be on hand April 16 to meet with staff and finalize a new school calendar.

A surprise reception will be held in April honoring Irma Leonard for playing the organ for masses.
Parish Life Committee: The Mission, along with the reception held after each presentation, was a success. Sacred Heart served refreshments Sunday, Tuesday and Wednesday evenings, while St. Luke served Monday evening. Cindy Hall, Carol Janssen, Adele and Claire Hogan helped with the luncheon serving around 30, for the Archdiocesan Faith Formation Leadership gathering on Thursday, March 15. Donuts and orange juice will be provided after the Post prom mass on Sunday, April 22, 2018 to be held at 3:15 A. M.
Parish Guild: 1,540 meals were served at the fish fry on Friday, March 23. There were 417 carry-outs. This was an excellent attendance, considering Ryan and Earlville parishes had a fish fry the same evening. The Fall Festival, which was to be held on Saturday, September 29, will have to be changed, as Homecoming is that evening.
Deanery Council: Because of the death of Father Reasoner at St. Jude Parish, Archbishop Jackel announced that appointments of priests to new assignments has been postponed. He will review and send letters to priests for their new parish assignments after Easter.
New Business: Ann Strittmatter, Connie Goldsmith and Mary Rose Coleman are serving on the Sesquicentennial (150th Anniversary of Sacred Heart: 1868-2018). This will be held on Sunday, September 9, 2018. The meal will be at no cost to those attending. The Guild will donate proceeds from one or two nights of Fair Parking earnings to go toward expenses of the Sesquicentennial. It will be held on the lawn by the church, with the basement of Newman Hall to be used in case of inclement weather.

Tuesday, September 25, 2018
The Sacred Heat Pastoral Council met in the Upper room at the Sacred Heart Parish Office on Tuesday, September 25, 2018 at 6:30 P.M. with a prayer led by Father Baldwin.
Call to order was made by Chair, Dale Hosch. Those attending included: Father Baldwin, Jim Loes, Ann Norton, Clint Gray, Shielly Monck, Teresa Wolkin, Marv Kelchen, Diane Haag and Denise Miossi. Dale Hosch welcomed the new members, Diane Haag and Denise Miossi to the Pastoral Council. Jim Loes moved to approve the minutes from the March meeting. Ann Norton seconded. Motion passed.
Old Business: Minutes from the Sesquicentennial committee were provided to the council.
It was noted that 340 people were served at a cost of $430.00. The free will donation jar netted $280.00. Donation of the meat helped to keep the food expenses low.
A deposit of $1,190.00 was made for sales/donations of the Sacred Heart history books.
Of this, $1,190.00, $400.00 was start-up money for change. Of the 400 books ordered, 260 are left. The 400 books were originally purchased from Julin Printing for $1.374.00, or, $3.44 each. Dianna Rucker took pictures of the church at no charge.
Every image we used in the book was $29.99. These pictures can be used as many times as we want. We used 25 images at a cost of $802.00. Our cost was slightly less than $6.00 per book. The books will be kept at the Parish Office to be sold for $12.00 each. They will be available at the Fall Festival.
T-shirt sales were $432.00. The costs for the T-shirts were: $318.00.
Dale Hosch gave an update concerning the Stations of the Cross from Immaculate Conception Church, Castle Grove. Installation will be after January 13, 2019 and before March 6, 2019.
Finance Council: Jim Loes handed out financial reports. Fiscal year to date showed a $4,055 loss. Two months year to date, 2018-2019 fiscal year, shows approximately $16,000 profit.
Board of Education: Teresa reported that the new Principal, Laura Herbers, is beginning to familiarize herself with the school budget. Enrollment at the school is 89.
Liturgy Committee: Father reported that Ash Wednesday will be on March 6, 2019. He plans on having 2 4:00 P.M. masses for Christmas Eve. One at St. Luke’s and the other at Sacred Heart.
The Feast of the Immaculate Conception falls on Saturday, December 8, 2018. He will place a reminder in the bulletin that mass will be on Friday evening, then again on Saturday morning. The evening mass at Sacred Heart does NOT count as attending the Holy Day! It only counts as the Sunday mass.
Parish Life Committee:
Parish Guild: The parish Fall Festival will be Sunday, October 7, 2018 from 11:00 A.M. to 2:00 P.M. Adult tickets will be $12.00. Country Store will change to Country Store Bingo. Items usually donated for the Country Store, would become prizes for Bingo. Other prizes would be gathered for the children playing Bingo. Tickets to play Bingo will be $.50.
Deanery Council: Father reported that three deaneries brought up the fact that the salaries of the priests in our archdiocese are $4,000.00 under or below average of other dioceses in Iowa.
New Business: Election of Council Chairperson was discussed. Father Paul made a motion that Clint Gray would stay as the Vice Chair. Shielly Monck seconded. Ann Norton asked for motions to cease. Jim Loes seconded. Motion passed.

Marv Kelchen gave a report of projects that need attention at the church. Every diocese makes up the salaries of the priests. Our diocese priestly salary is $1,950.00.
• Front Steps. These were promised to be repaired, redone or something 5 years ago.
• On the West side of the church, the louvers in the towers are rotten. They have never been replaced.
• Tuck point the brick. This last was done in the late 1980’s or early 1990’s.
• The wood frames around the stained glass windows are deteriorating.
• The walls in the guild room and lunchroom are deteriorating.
• Carpet on the walls in Newman hall needs to be removed as the plaster behind that is deteriorating.
• LED lighting needs to be installed in Newman Hall.
• Cracks in the parking lot, sidewalks and curves needs to be repaired.
• The City of Monticello will be upgrading the pavement along Sycamore Street in 2019. He and Dave will attend the council meeting to see how this will affect the church and the school.

Old Business:
Dale Hosch gave an update concerning the Stations of the Cross from Immaculate Conception Church, Castle Grove. Installation will be after January 13, 2019 and before March 6, 2019.
Father said he would keep his old Mac computer in spite of the problems it is causing as updating it would be just as much as a new computer would cost.
Finance Council: Jim Loes reported that the new financial giving update in the bulletin informs parishioners of the giving and how Sacred Heart is meeting its budget. It is important that the parishioners see the debt on the Church renovation which was completed in 2012, being met and that quarterly interest payments are made to retire this loan. Our parish exemplifies support to Sacred Heart each weekend, as well as for our tow annual fundraising functions and numerous events to assist those in need. A part of this support is also the financial support needed to operate the Parish. Please thoughtfully consider your giving and utilizing ACH to make your contributions. You may contact any member of the Finance Council, if you have any questions.
Buildings and Grounds: Dale Hosch reported that he, along with John Schlarmann and Bryan Britt went up into the bell tower to see the operation of the bell system for themselves. The bell rang while they were there. The mechanism to operate the bell, is a steel ball that is outside of the bell itself. There are timbers that are cracked due to age, along with rusty screws that keep this together. However, since the bell itself does not move, they felt the expenditure of removing and replacing the timbers was unnecessary.
They also took out and replaced the louvers in the tower. Many need painting. No rotting was noticed. The screen that is outside of them to keep the birds out is still good and intact.
Dale Hosch and Jim Loes attended the open house at the Monticello Renaissance Center concerning the designing and reconstruction plans for North Sycamore Street and a portion of third Street.. This will impact our school, along with the church, The City of Monticello will assess a portion of the costs associated with the cub, gutter, sidewalks and driveway approach, if applicable, to residents along the street. Residents will have the option to pay the assessment at project completion or to pay the assessment over a period of ten years at a minimal interest rate.
Discussion was held concerning the ramps/walks in front of the school, to be sure they meet with everyone’s desires and are ADA compliant.
In addition, it was learned that all of the trees in the right-of-way between the curb and sidewalk will be removed as part of this project. The city Tree board is working on a program to make trees available for planting at the conclusion of the project. The City Council has not yet decided if trees will be allowed to be planted in the right-of-way, or, if they will need to be planted outside of the right-of-way.
Dale and Jim will be in contact with Doug Herman, Monticello City Administrator, when we begin the construction of steps in front of the church.
After discussing the beginning process needed for the steps, a motion was made by Ann Norton to have martin Gardner draw up plans for the new steps at a cost of $900.00. Dale Hosch seconded the motion. Motion passed

Teresa informed the Council that the tuition at Sacred Heart is the lowest in the Archdiocese at $1,550.00 per student. If 4 or more children attend, the cost is free for those children. In comparison, considering just a school, and no gym, Anamosa tuition is $2,150.00 per student, and St. Thomas Aquinas is at $3,000.00 per student.

Pastor’s Comments: Father sent out 31 College Care Packages to those students attending college whether it is their first year, or their last year in college. He has done this since he has been at Sacred Heart as a way of showing the students how the parish cares for them, even when they are gone.

The Sacred Heart Pastoral Council and Finance Council met in the Upper Room at the Sacred Heart Parish Office on, Tuesday, September 26, 2017 at 6:30 P.M. with a prayer led by Father Baldwin.
Call to order was made by Chair, Dominic Hogan. Those attending included: Father Baldwin, Dominic Hogan, Jim Loes, Regina Digmann, Ann Norton, Dale Hosch, Clint Gray and Shielly Monck .
Regina Digmann moved to approve the minutes. Dale Hosch seconded. Motion passed.
Election of officers to the Pastoral Council was held.
Regina Digmann nominated Dale Hosch as Chair. Ann Norton seconded. Discussion was held as to the duties of the Chair. Clint Gray moved nominations cease. Jim Loes seconded. Dale Hosch will be the Chair for the Pastoral Council.
Nominations were opened for Vice-Chair. Dale Hosch nominated Clint Gray. Father Baldwin seconded. Jim Loes moved nominations cease. Regina seconded. Clint Gray will be Vice-Chair.
Finance Council: Discussion was held to have Honkamp take over all of the financials, including the school. Cost of doing this will be secured by Father Baldwin and included in the minutes at the next Finance Council meeting.
Discussion was held as to donations and bequests given to the church and school. A family made a request that they wished to honor each member of the Sacred Heart school staff for all they do for the school, in the amount of $1,000.00. Taxes will have to be taken from this amount, so the actual amount will be around $750.00. Ann Norton made a motion that we honor the request of the family and give this money during the month of December before Christmas. Clint Gray seconded. Motion passed.
Buildings and Grounds: The dishwasher in the Newman Hall kitchen needs to be replaced. Bids will be obtained from three sources.
The hot water heater for the Newman Hall kitchen needed a screen filled with bugs cleaned. It now works perfectly.
An issue with the carpet in the duplex was discussed. Dale Hosch made a motion to patch and seam the carpet using the deposit secured when the duplex was first rented. Ann Norton seconded. Motion carried.
Board of Education: Minutes were read by the council.
Liturgy Committee: Father Paul reported that the tabernacle repairs amounted to $1,700.00. He received seven gifts towards it, or to use where needed most. The Marian Garden will be landscaped by Josh Iben and money from these gifts will be used for that purpose.
Father will send letters out asking if anyone is interested in being a greeter before mass. The letter will explain that folks need to be inside and ready to greet, at least 15 minutes before mass.
Parish Life Committee: Becky Hogan reported serving refreshments when Brother Craig gave his presentation.
Pastors Comments: NCYC will have 76 attending from both parishes. The cost for the young adults to attend, is $550.00. The chaperones pay their own way. Once again, Sacred Heart will be a hub for the buses. Anamosa will be joining, so around 112 people will be departing on Thursday, November 16, 2017 at 4:30 A.M. The Parish Life Committee will serve donuts and juice boxes before departure.
Discussion was held on Totus Tuus Latin for “Totally Yours for Youth”. This is a week long summer Catholic youth program for both grade school age children, along with middle and high school youth. This program is dedicated to sharing the Gospel and promoting the Catholic faith through evangelization, catechesis, Christian witness and Eucharistic worship. The cost is $2,200.00 for the program. A committee would be needed to help with this endeavor. Discussion will take place at a later time.
Regina Digmann and Dominic Hogan will be going off as board members of the Parish Council. They each need to call 2 to 3 people to ask if they would like to serve on the board.

The Sacred Heart Pastoral Council met in the Upper Room at the Sacred Heart Parish Office on, Tuesday, November 28, 2017 at 6:30 P.M. with a prayer led by Ann Norton.
Call to order was made by Chair, Dale Hosch. Those attending included: Father Baldwin, Dominic Hogan, Jim Loes, Ann Norton, Clint Gray and Shielly Monck .
Ann Norton moved to approve the minutes from the September meeting. Shielly Monck seconded. Motion passed.
In Old Business: Discussion was held as to the October Mass Counts. These were taken at Sacred Heart on Saturday evening and Sunday morning. October 1=416; October 8-=520; October 15=541 and October 22=540. Our envelope count is around 635 to 640 parishioners.
Finance Council:
Data entry errors are still being found. Honkamp & Krueger will be utilized for the data entry of expenses and deposits to streamline the process so it is more accurate. The billing from them for the last two months has been a total of $2,600.00.
Discussion was held as to donations and bequests given to the church and school. A $10,000.00 bequest will go toward the new playground equipment, while the second bequest of $10,000.00 is to repair the front steps of the church. This bequest will be received after Februrary 11, 2018.
At 6:45 P.M. Clint Gray moved to go into Executive Closed Session. Ann Norton seconded. At 7:28 P.M. the council came out of the Executive Closed Session.
Buildings and Grounds: The dishwasher in the Newman Hall kitchen seems to be functioning alright. Since it is still operational, it will be monitored.
Barnhart walks the roof of both the school and church in the Fall and the Spring. They noticed flashings on the school need repair. This amounts to around $300.00. This will be repaired.
Board of Education: Minutes were read by the council.
Liturgy Committee: Father Paul reported that 151 Landscaping has begun the work on the Marian Garden and is close to being finished. The cost of $7,858.00 will come from a $2,000.00 donation and $7,000.00 from a memorial fund that is in Dubuque. He hopes to dedicate it either on December 8, 2017, or in May of 2018.
A Liturgical/Stewardship Survey will be sent in Lent for interest in being a greeter before mass. This survey will explain that folks need to be inside and ready to greet, at least 15 minutes before mass.
A Parish Mission will be held for both parishes on Sunday, February 25, 2018 and end on Wednesday, February 28, 2018. Tony Digmann will be presenting. He is giving our parish a 50% discount. The total cost will be $2,500.00, plus mileage. He will give a personal testimony the first evening. The theme the following evenings will be: Why God?; Why Christian?; and Why Catholic? There will be 2 tables out in the gathering space for books he has written, along with his CD’s.

Thursday, January 28, 2016
The Sacred Heart Pastoral Council met on Thursday, January 28, 2016 in the multi-purpose room of the Parish Offices. Present were: Father Paul Baldwin, Jim Loes, Clint Gray, Dale Hosch, Shielly Monck, Regina Digmann, Chad Adams, Dom Hogan, Leslie Althoff. Absent was Becky Hogan.
Chair Chad Adams call the meeting to order at 6:35 P.M. Prayer was led by Dom Hogan.
Jim Loes made a motion to approve the Pastoral Council Minutes. Shielly Monck seconded. Motion passed.
Old Business: Getting reports finalized and working on the budget continue.
Board of Education: Will Spencer continues working on grants for the window and lighting project. A marketing Program has been in place to working on a new mission statement, new logo and for recruiting new families and students to Sacred Heart School.
Finance: Discussion was held on sending a letter out on the church addition project for outstanding balances due on pledges. Several bids were gone over that have been submitted on the Church front step project. Will Spencer is working on a flat subsidy to the church for the 15th of each month. Jim Loes will be meeting with Honkamp Krueger and Judy to go over Quick Books training.
Liturgy: February 7th start setting up purple banners for lent. Ash Wednesday Mass Schedule: Sacred Heart: 8:15AM, 12:15PM, 7:30PMSt. Luke: 5:30PM. Communal Reconciliation will be held Sunday, February 28th at 4:00PM at Sacred Heart; an agape meal will follow. March 9th is Reconciliation for Sacred Heart all grades. March 16th Reconciliations for St. Luke. Holy Thursday March 24th Mass will be at Sacred Heart at 7:30P.M. And include washing of the feet. Good Friday March 25th Mass will be at Sacred Heart at 3:00P.M. And at St. Luke at 7:00P.M. Saturday March 26th Vigil Mass will be at Sacred Heart at 8:00P.M. Easter Sunday March 27th Mass will be at Sacred Heart and include closed circuit TV as well as Mass at St. Luke at 10:30 A.M. Confirmation will be on Sunday April 10th at St. Luke.
Parish Life Committee: Hosting Mission speaker Jon Leonetti on Sunday February 14th-Tuesday, February 16th from 7-8 p.m. each evening with coffee, punch, and cookies to follow each evening.
Parish Guild: Working on recruiting new members. Fish Fry is scheduled for Friday, March 11th starting at 4:30P.M. Menu is: Cod loin, Macaroni and Cheese, Party Potatoes/baked Potatoes, Creamy Coleslaw, Pistachio salad, Corn, Rolls, Milk, Coffee, and Desserts.

Special Joint Meeting of the
Sacred Heart Pastoral and Finance Councils
A special joint meeting of the Sacred Heart Pastoral and Finance Councils was held in the multi-purpose room of the Parish Offices on Monday, February 22, 2016, at 6:30 P.M. Present were: Father Paul Baldwin, William Spencer – Sacred Heart School Principal, Marv Kelchen – representing the Facilities Committee, Clint Gray, Regina Digmann, Dominic Hogan, Chad Adams, Jim Loes, Dale Hosch, Pat Recker, Michelle Bayne and Bryan Britt
Father Paul opened the meeting with a prayer.
Will Spencer gave a presentation of what our school will be facing since the Department of Education will not be overseeing the three year old
Pre-school program. The DHS will now be the department working with the school. Since DHS requires different rules for functioning, Will has been on the phone, along with e-mailing the department officials to see how our parish office building (the Rectory) will need to change in order to meet the DHS requirements. One of the changes, will be moving the children from the classroom above the parish offices, to the music room and rooms along the west side of the hallway in an “L” shaped pattern. This involves removing walls, raising the floor in the music room, installing a small ramp, restructuring a restroom, install new vanities outside the existing restroom for hand washing and clean up, install new 36” entry door to preschool restroom, remove and reinstall lighting, install new suspended ceiling, remove carpeting on floors, install Congolium/Evolution vinyl flooring on front entry area, recreation room, hall, restrooms and new classroom floors. This project should begin at the end of the school year, and be completed on or before August 1, 2016.
A motion was made by Dale Hosch to move forward with changing the parish offices to accommodate three-year old pre-school and flooring throughout the main floor of the facility, by obtaining another bid from a contractor. Clint Gray seconded the motion. Motion passed.
Father will draft a pledge letter to be reviewed by the Finance Council to remind those who have yet to fulfill their pledges for the new addition of the Church. The hope is that this will inspire those who have outstanding pledges to pay those as soon as possible.
A motion was made by Pat Recker to go into closed session at 7:20 P.M. Jim Loes seconded. Motion was made by Jim Loes to come out of closed session at 8:28 P.M. Dominic Hogan seconded.
Chad Adams made a motion to hire Honkamp Krueger at the higher level of accounting, being sure that they include the school, along with the parish, and leaving Father the checkbook at the office for special needs. Jim Loes seconded the motion. Motion passed.

The Sacred Heart Pastoral Council, met in the Parish Office Multi-Purpose Room on Thursday, April 7, 2016. Call to order was made by Chair of the Council, Chad Adams at 6:37 P.M. Those attending included: Father Baldwin, Will Spencer – Sacred Heart School Principal, Gwen Kuper, Clint Gray, Regina Digmann, Jim Loes, and Dominic Hogan.
Clint Gray led the council in prayer.
Regina Digmann motioned to approve minutes from both the Parish Council, along with Finance Council. Jim Loes seconded. Motion passed.
Will Spencer alerted the council for the need of new lighting throughout the entire school. He reported that he has counted 52 lights that have burned out just this week. He believes the ballasts are bad. Many times, smoke can be smelled in the building. He is trying to get a grant for replacement. Hopefully, funding can come from the gala.
He is still waiting to learn if Sacred Heart will receive grants for window replacements throughout the school.
Will Spencer outlined the preschool/aftercare option to the council. Since removal of walls, bathrooms, etc., will be required in the Parish Center, in order for Sacred Heart to expand their services, and meet DHS requirements, he will propose to the school board the following option which will help to make this a viable endeavor:
This option would be open to families that are registered in one of Sacred Heart’s morning pre-school programs of 3 and 4-year old students. It would provide care beginning at 11:00 A.M. and would end at 5:30 P.M. It would provide 6.5 hours of care a day for a total of 26 hours of care a week. This option would require 2 staff members. The breakdown would be:
26 Hours X $2.50 per hour-$65.00 per week
$65.00 per week X 16 students-$1,040.00 per week.
$1,040.00 per week X 4 weeks=$4,160.00 per month.
$4,160.00 per month X 9 months- $37,400.00 per year.
He will propose hiring staff at part-time basis and to keep their hours under the diocesan level of 30 hours per week.
Committee Reports:
Board of Education: Gwen Kuper reported that there are 18 kindergarten students registered for the 2016/2017 school year so far. They will be looking at Carpenter Scholarship applications.
Finance Committee: Jim Loes presented the board with the 2016/2017 budget. Regina Digmann made a motion to approve of the budget. Gwen Kuper seconded. Motion passed with Shielly Monck approving by e-mail. A motion was made by Clint Gray to raise the remuneration to the Church for weddings from $150.00 to $250.00 beginning with weddings that booked after July 1,2016. Those that have already set their wedding dates will be grandfathered in at the level presented to them at the time their weddings were scheduled. Dominic Hogan seconded the motion. Motion passed.
Buildings and Grounds: Father reported on the spring inspection of the Church roof. Updates and repairs will be made in a timely fashion.
Liturgy Committee: The new installation of the closed circuit TV was a great help at the Easter mass where overflow of parishioners were able to attend mass in Newman Hall because of this installation.

Date of next meeting: Wednesday, May 4, 2016. Joint year-end celebration with the Finance Council, Board of Education at La Hacienda in Monticello. Spouses are invited to attend. Everyone will be financing his or her own meal.

Three leadership groups met Newman Hall at 6:30 P.M. with a call to order and prayer by Father Baldwin.
Pastoral Council, those attending included: Clint Gray, Regina Digmann, Jim Loes, Dominic Hogan, Shielly Monck, Dale Hosch and Ann Norton.

Board of Education, those attending included: Jami Schlarmann, Kim McQuillen, Will Spencer – School Principal, Christine Rieken, Teresa Wolken, and Jake Elwood.
Dale Hosch made the motion to have the Archdiocese assist us in crafting a formal job description create a new job position of Parish Bookkeeper/Secretary. The new position will mean the elimination of the current Parish Secretary position. The new position would be 20 hours per week while leaving the option open to adjust that time frame if necessary. An hourly wage has not yet been determined. Fr. Paul will work with Will Spencer, Jim Loes, and Teresa Wolken to create the final job description for the new Parish Bookkeeper/Secretary position. Clint Gray seconded. Motion passed.

The Sacred Heart Pastoral Council met in Newman Hall on Tuesday, September 27, 2016 at 8:00 P.M. Call to order was made by Vice-Chairperson, Dominic Hogan. Those attending included: Father Baldwin, Clint Gray, Regina Digmann, Jim Loes, Dominic Hogan Shielly Monck and Ann Norton. Father welcomed Ann Norton to the Pastoral Council.
Regina Digmann motioned to approve minutes from the April meeting. Jim Loes seconded. Motion passed.
Clint Gray motioned that Dominic Hogan be Chair of Pastoral Council. Ann Norton seconded. Motion passed.

Board of Education: Minutes were read.
Finance Committee: Minutes were read.
Buildings and Grounds: New lighting is needed at the school. A $24,000.00 grant has been received which will cover 50% of the cost. Fundraising will proceed to obtain the remainder cost. A bid from Outdoor Creations of $1,830.00 was accepted for grading work that needs to be done at the duplex so that water pooling does not occur and go into the compound. A bid of $3,755.00 from Accent Construction to repair some parts of the front steps and surrounding sidewalks was accepted in order to make the steps safer for the time being until a more permanent repair can be made.
Liturgy Committee: The next meeting will be with St. Luke Parish in Hopkinton, to prepare for upcoming liturgies including Holy Days, Advent, and Christmas.
Parish Life Committee: Helped with Confirmation at St. Luke’s with cupcakes for Archbishop Jackels. Had donuts and orange juice after the Post Prom Mass.
Parish Guild: The Fall Festival report from the Guild was read. Smoked pork chops were enjoyed.
Deanery Council: No meeting held.
Pastors Comments: Father Baldwin noted the “Adopt a Missioner” program outlined by Brother Craig Digmann of the Glenmary Home Missioners in Tennessee. The Finance Council proposed that Brother Craig would come to talk to both parishes during Lent. A collection could be taken at that time to help Brother Craig in his ministry.

The Sacred Heart Pastoral Council met on Tuesday, November 22, 2016 at 6:37pm
Call to order was made by Chairperson, Dominic Hogan.

Finance Committee: Honkamp is going well. Will start to work with Denise Lloyd Lawrence the new secretary.
Buildings and Grounds: Discussion was held as to the rent for the duplex. Ann Norton made a motion to increase the rent from $550.00 per month to $575.00 per month as of March 1, 2017. Regina Digmann seconded. Motion passed.
Discussion was held regarding replacing all of the lights in the school. $24,000.00 will be needed to accomplish this. The gala raised $9,000.00 towards this. It is estimated that the windows will cost around $36,926.00.
Liturgy Committee: Parishioners will be encouraged to bring non-perishable food items to the Thanksgiving Mass. The items will be donated to the food pantry. There will be ornaments for the members of 16 families on the Christmas Giving Tree. HACAP of Jones County gives the families we help to us.
Parish Life Committee: There will be a retirement party for Judy Balentine after the 5:00 P.M. Masses on the weekend of December 10th & 11th. A Christmas ornament created by Maria White along with a card will be given to Judy from the Parish.
Parish Guild: The Fish Fry will be April 7, 2017.
Pastors Comments: Father Baldwin shared a thank you note from Father Gross for the money received for helping the flood victims in Northeast Iowa.
Brother Craig Digmann will come to speak at both parishes at the Masses on the weekend of January 28th & 29th. He will speak about his new outreach ministry in eastern Tennessee.

Sacred Heart Pastoral Council Minutes for Tuesday, January 27, 2015
The Sacred Heart Pastoral Council, met in the Parish Office Multi-purpose Room on Tuesday, January 27, 2015. Call to order was made by Chair of the Council, Chad Adams at 6:35 P.M. Those attending included: Father Baldwin, Dominic Hogan, Regina Digmann, Gwen Kuper and Dale Hosch.
Father Baldwin reported that Father Pat Riley from Holy Family Parish in Eudora, Kansas contacted him regarding the stations from Immaculate Conception, Castle Grove. He would like to use them, along with the statues of the angels from the parish, for a new church his parish is building. Father shared that the Archdiocesan Chancellor/Archivist, Sister Maureen McPartland has offered to store the stations and all of the items of a sacred nature from Immaculate Conception, at the archives in Dubuque. Father Riley first contacted her. Sister believes that if a parish can use the stations, they should be used. But, ultimately, the decision remains with Sacred Heart. Father suggested that the stations be given to Father Riley’s parish at no cost, as long as they agree to take care of the transport and restoration of them, or, that the stations go to the archives in Dubuque, where they can be preserved in a climate controlled manner.
Kevin Miller, from Immaculate Conception, was allowed to speak to the council concerning his desire to have the stations installed in the Sacred Heart Church. He gave a brief history of Immaculate Conception Parish, along with the donations the parish made to Sacred Heart throughout the years, to fully compensate tuition for students from Immaculate Conception who were attending Sacred Heart School, along with the substantial contribution made by the parish to pay off one of the duplexes for the parish priest to reside in.
After much discussion, Dale Hosch made a motion to take the stations to Dubuque to be stored. Gwen Kuper seconded the motion. Motion passed.
Chair of the Council, Chad Adams, asked that the minutes from the November meeting be read. Jim Loes made a motion to approve the minutes. Dominic Hogan seconded. Motion passed.
Committee Reports:
Board of Education: Gwen Kuper gave a report from their meeting. Tuition will be increased by $50.00 per student for 2015-2016 school year. Salary increases for teachers will also be considered.
Finance: The gala reported a net profit of $53,300.00. This will be used for multiple items for the school, with the majority of the funds being used to update the computers.
All the repairs to the duplex and school have been completed. Church repairs will begin in the spring.

Father reported that Jeff & Shielly Monck, along with Doug & Julia Bean are the committee chairpersons for Faith Formation. He would like someone to volunteer to become chairperson for Stewardship and Social Justice.

The Sacred Heart Pastoral Council, met in the Parish Office Multi-purpose Room on Thursday, March 26, 2015. Call to order was made by Chair of the Council, Chad Adams at 6:32 P.M. Old Business: All of the pictures have been taken for the Pastoral Directory and have been submitted for printing. After review, the directory will be printed.
Committee Reports:
Board of Education: Gwen Kuper gave a report from their meeting. The search committee designated by the full Sacred Heart Board of Education called a special meeting with members of the Parish Finance Council, to vote on the candidate for the Principal position to hire William Spencer II as the Sacred Heart Principal. Mr. Spencer and his wife are members of Resurrection Parish in Dubuque. He teaches Social Studies at Wahlert, along with being a soccer coach at Clarke College. His wife is a Professor at Clarke College.
The board accepted the resignation of Deb Porter as Music Teacher. Megan Klaus, the daughter of Dan & Teresa (Kraus) Cox, has been hired as the new music teacher. Her husband Ben, is a professor at Cornell College.
A retirement reception for Jim Zimmerman will be planned for May or June.
Finance: Jim Loes reported that we have a large amount of concrete repairs to make around all three facilities. Rock will be removed from under the canopy of the new addition, along with around the transformer and cement will be installed.
Dale Hosch will obtain a bid from Joe Tuetken to epoxy and pea gravel the front church steps.
A bid was accepted from Joel Althoff for a new computer for the door locking system for the church.
An upgrade to the fire protection system was installed above the stove in the kitchen at Newman Hall.
A gift received from Linda Schatz, was used to reduce the debt of the new addition. The gift and memorials received for LaVon Pasker was placed into a savings account.
A letter from Catholic Campus Ministries at UNI, along with Iowa State to help with funds toward their student centers. A second collection will be taken for this cause.
On March 28th & 29th, 2015, a second collection will be taken for Catholic Relief Services’ Rice Bowl Initiative.
Jon Leonetti, a nationally known Catholic speaker, author of Mission Of The Family and Your God Is Too Boring, will be giving presentations and parish mission for both parishes at Sacred Heart entitled Surge of the Heart. He will speak all of the Masses on the weekend of February 13th & 14th 2016 and he will offer the mission talks the evenings of Sunday the 14th, Monday the 15th, and Tuesday the 16th. There will be a free will offering collection taken each of those nights. The entire collection comes back to the parishes to offset the cost for Mr. Leonetti. This event will be advertised throughout the parishes the Archdiocese through the Archdiocesan Official Bulletin and the Witness It will also be advertised in area bulletins, on our website and Facebook page. The cost for Mr. Leonetti is $3,800.00 plus travel, lodging, meals.

Pastor’s Comments: Father reported that there will be 45 students, along with 19 adults attending the National Catholic Youth Council in Indianapolis, on November 19, 20, 21 & 22, 2015. The Archdiocese of Dubuque has surpassed last years attendees with 1,703 attending this year. Some of the fundraising events for youth attendance fees will be; an ice cream bar at the fish fry, auctioning front pews at St. Luke and Sacred Heart Church for Easter mass and parking in the church lot and lawn for the J & P Cycles event planned for June. Any funds left over from these fundraisers, will be put toward the 2017 NCYC.
Father read a letter from the Archbishop regarding changes in governance.
Father will be on vacation Monday, April 13 until Saturday, April 18, 2015. There will be no daily mass during this time. He will be back for the Saturday evening mass on the 18th.
The priest convocation will begin on Wednesday, June 17, 2015 and end on Friday, June 19, 2015. Father plans to take off on Monday, June 15th and be back by June 19th. There will be no daily mass during this time.

The Sacred Heart Pastoral Council, along with the Finance Council, met at La Hacienda Mexican Restaurant in Monticello, on Thursday, May 28, 2015. Call to order was made by Chair of the Council, Chad Adams at 6:32 P.M. Those attending included: Father Baldwin, Jim Loes, Chad Adams, Regina Digmann, Dale Hosch, Clint Gray, Shielly Monck, Brian Britt, Michelle Bayne and John Schlarmann.
Shielly Monck was welcomed as the new member to the Pastoral Council. Appreciation was given to Jane Lawrence for her term on the council. Regina Digmann was voted in at elections, to serve a second term on the council.
Motions were made for Chad Adams to serve as Chair to the Pastoral Council and Dominic Hogan to serve as Vice-Chair to the Pastoral Council.
Jim Loes made a motion to have Becky Hogan serve as “Secretary for Life” on the Pastoral Council. Motion passed.

The Sacred Heart Pastoral Council met on Tuesday, September 22, 2015 in the multi-purpose room of the Parish Offices. Present were: Father Paul Baldwin, Dale Hosch, Clint Gray, Gwen Kuper, Jim Loes, Regina Digmann, Shielly Monck, Dominic Hogan, Chad Adams and Ryan Sperfslage representing the Knights of Columbus.
Vice-Chair Dominic Hogan called the meeting to order at 6:33 P.M. The prayer was led by Father Paul Baldwin. Jim Loes made a motion to approve the Pastoral Council Minutes. Dale Hosch seconded. Motion passed.
Old Business: Discussion was held on the purchase of the new office computer paid for through Guild funds from parking cars during the Great Jones County Fair.
Discussion was held as to an issue arising from the use of SCRIP. Clint Gray made a motion to zero out the issue with the provision that wording be added that the school would not be liable for attempted or actual fraud, theft or other criminal activity associated with the fundraising program or the Sites and Services. Dale Hosch seconded. Motion passed.
Ryan Sperfslage addressed the council representing the Knights of Columbus. The Knights will be celebrating 100 years this year, and have flags on stands, along with their framed charter, that they would like to display. Dale Hosch made a motion to look at a suitable display area for these items. Gwen Kuper seconded. Motion passed. There will be a dinner for the parish, along with the Knights and their families, honoring the Knights of Columbus on Saturday, December 12, 2015 after the 5:00 P.M. mass.
Board of Education: Motion was made by Jim Loes to approve the minutes. Chad Adams seconded. Motion passed.
Discussion was held on getting an estimate to update all the windows of the school, along with getting an estimate on updating the lights throughout the school.
Finance: Repairs and upgrades to the grounds will made on Saturday, September 26, 2015 beginning at 8:00 A.M. Bottled water and snacks will be provided by the Parish Life Committee.
Chair of Council, Chad Adams, called to go into executive meeting at 7:00 P.M. to discuss personnel and finance. At 7:29 P.M., Chair of Council, Chad Adams, called to come out of executive meeting.
Discussion was held as to difficulties with area middle school youth pertaining to disruptions while parishioners are coming to the Saturday evening mass, loitering, and littering. Four large signs will be put up and worded so that police can be notified when occurrences happen.
Parish Life Committee: Becky reported that 170 parishioners and religious attended the workshop where Archbishop Jackels spoke about mission, mass, vocations and Catholic schools. The committee will provide bottled water and snacks for the buildings and grounds crew on September 26th.
The committee will help in the meal honoring the Knights of Columbus in December, and will provide snacks during the mission in February, 2016.
Parish Guild: Discussion was held about ordering 10 more roasters from Spahn and Rose as these will be needed for the pork loins during the fall festival. Madonna Manternach made a donation toward the new roasters as the others were here when she was on the guild, and many do not work correctly.
Deanery Council: Priests met for discussion on Hispanic Ministry in our Deanery. Father Paul has opted out for Sacred Heart and St. Luke’s.
Pastor’s Comments: The final bill has been paid for NCYC. Money left over will be used for t-shirts and trading items. The 2015 trading item is a lapel pin in the shape of the State of Iowa with NCYC printed on it. Kevin Feyen is hosting a workshop for NCYC. He has invited Father Paul, Jordan Loes, CeCe Bean and Zach Timm as alumni panel leaders and will Skype with youth from other parishes concerning their NCYC. Sacred Heart will be one of the NCYC bus hubs. Two buses will leave from Sacred Heart at approximately 5:30am. on Thursday, November 19th and return Sunday, November 22nd. The youth from St. Patrick Parish in Anamosa and the North Linn Cluster of Coggon, Prairieburg, and Central City will be on one of the buses leaving from Sacred Heart.
Father would like to meet on the 4th Tuesday, at 6:30 P.M., in the multi-purpose room at the parish offices, during the months of September, November, January, March (to approve the budget) and May. These are the same months that the Finance Council is scheduled to meet on the third Tuesday.

The Sacred Heart Pastoral Council met on Tuesday November 24, 2015 in the multi-purpose room of the Parish Offices. Present were: Father Paul Baldwin, Clint Gray, Regina Digmann, Shielly Monck, Dominic Hogan, Chad Adams .
Chair Chad Adams called the meeting to order at 6:37 P.M. Prayer was led by Father Paul Baldwin.
Regina Digmann made a motion to approve the Pastoral Council Minutes. Shielly Monck seconded. Motion passed.
Old Business: A vote to accept the bid from Accent Construction for improvements to be made on the Marian Garden was approved by eight responses to Father Baldwin’s e-mail. Reponses were also received to keep the rotation of the Mass schedule between the two parishes.
Board of Education: Theisen’s Grant for $2,000.00 was awarded to the school. Nine Ipads were purchased. Ten Chrome books were donated. Catholic Schools Week is January 31, 2016. Discussion was held on getting an estimate to update all the windows of the school, along with getting an estimate on updating the lights throughout the school.
Finance Council: Discussion was held regarding setting the school subsidy to a more level amount each month. Research with the Archdiocese to see if this is possible to do. The goal is to have this happen next fiscal year. A Marketing Committee is being formed to assist with enrollment and promoting Sacred Heart School. Father Baldwin gave a report that he sent 20 care packages to our college students. He received a lot of great letters back thanking him for thinking of them. Father wants to know if this is something that we would like to continue? Father covered the expense this year. Average cost per box, was $53.12. The Council decided this would be a good idea to do in the future at fall semester time.

Parish Life Committee: The committee served bottled water, snack bars, donuts and bagged juice to around 100 youth attending the NCYC conference on November 19th at 4:30 A.M. in Newman Hall. Our committee will help in the meal honoring the Knights of Columbus in December, and will provide snacks during the Joint Parish Mission February 14th – 16th
Parish Guild: There were 510 meals served with 126 of those being carry-outs. A discussion was held as to whether a Saturday night might be beneficial in the future. So more people would attend. Time changes were discussed as to have the hours from 11:00 A.M. to 1:00 P.M. or 1:30 P.M. if the festival were to be held on a Sunday again. It was noted that not as many children were at the game area, perhaps because it was on a Sunday rather than Saturday evening. Perhaps we could have a bouncy house or something different for fish fry.
Deanery Council: No report-The priests will meet again on December 9th, 2015.

Sacred Heart Pastoral Council Minutes for Tuesday, January 28, 2014
The Sacred Heart Pastoral Council, along with the Financial Council, met in a joint meeting in the music room of the parish center. Call to order was made by the Chair of the Pastoral Council, Jeff Monck at 6:30 P.M. Those attending included: Father Baldwin, Jane Lawrence, Dominic Hogan, Jim Loes, Regina Digmann, Gwen Kuper, and Chad Adams. Also in attendance representing the Finance Council were: Bryan Britt, Jeff Monck, Jim Loes and Michelle Bayne. The minutes from the November Pastoral Council meeting were read and approved.
Father Baldwin read a letter of resignation from Deacon Ed Goldsmith as our Business Manager. Since there were no contractual commitments to fulfill, Deacon Ed will no longer be receiving a salary for this position. Discussion was held as to what to do with the duplex he and Connie currently resides in. If it becomes a rental unit, does it go onto the tax role? Father will contact Bob Shimanek to look into this matter.
At 6:45 P.M. Deacon Ed and Connie Goldsmith came in to meet with the combined councils. Deacon Ed apologized for taking on the accounting, since he has no background or education in that area. He would like to stay as our Deacon/volunteer, which is a voluntary position. Father will meet with Deacon Ed to determine his role in the parish. Deacon Ed & Connie would like to work with adult faith formation but Father will work with them before they do anything. Deacon Ed begins next week to drive bus for the Trailways company and will be gone 6 days a week, but will be available every night but two.
Deacon Ed feels he would have more time to maintain the website; however, a Sophomore of Sacred Heart would be willing to do this for Silver Service Awards. It was discussed to include this student to work at this endeavor, with the hope of him passing it onto another student before reaching senior year in high school, so that the students of the parish maintain a role of participation in our parish community.
At 7:15 P.M. Peg Mere came in to meet with the combined councils. Peg will meet with Father Baldwin and Jim Loes. Peg will not be an employee but will enter into a contractual agreement with parish for her services. She will be given the working title of Accounting Services Manager and will use the Quick Book software the parish currently has, to write checks for both the parish and the school. She is willing to go back 5 months to audit the records and bring reports for the Finance Council up to date as soon as possible. Honkamp Krueger Accounting Services has been retained to process the payroll. Checks to staff were issued on time, along with 1099’s and W2’s, which were due by January 31, 2014.
Discussion was held about the front door of the Parish Offices as well as the glass door in the Sacristy. The inside front door of the Parish Offices does not meet fire codes, the door going into the Sacristy from the outside, does not close correctly and the glass leaks cold air. A bid to install and repair these doors was submitted by Dave Haag. The doors would come through Spahn & Rose in the amount of $3,129.75, which included installation, trim and patching. Bryan Britt made a motion to accept the bid given by Spahn and Rose. Jim Loes seconded the motion. Motion passed.
Discussion was held concerning the frozen pipes in the women’s restroom in the gathering space. Marv Kelchen and Dave Haag will cut a couple of vents to allow air movement. These are plastic pipes, so they should not burst.
Discussion was held on thermostats throughout the Church. Father and Marv Kelchen noticed that someone had changed the programs on the thermostats in the Reconciliation room at least three times. On one such occurrence, he could not get it to move from the 75o setting that had been programmed into it. Thermostats will be zoned and have new sensors with settings behind locked and closed doors to prevent occurrences such as this from further happening.
Committee Reports:
Board of Education: Gwen Kuper reported that Catholic School week is this week. To take advantage of that, there will be a Kindergarten meeting Thursday, January 30, 2014 at 6:00 P.M. On Friday, January 31, 2014, there will be a school dance. A fundraiser for the school has begun with meat packages from Edgewood Locker.
Finance: Jim Loes reported that the Finance Council could not accept the reports from their meeting in January.
Spiritual Life & Liturgy: Archbishop Jackels will come to our parish on Saturday, August 2, 2014 for a Holy Hour to pray for vocations. There will be prayer, scripture readings and music during this hour, led by the Archbishop.
Parish Life Committee: No report given
Parish Guild: Chad Adams reported that the Sacred Heart Fish Fry will be held on Friday, April 11, 2014. It was decided to make menu changes, which included serving baked potatoes, corn and different salads instead of coleslaw. The macaroni and cheese will stay on the menu. They discussed the possibility of serving beer and pop. Father will check with the insurance representative in Dubuque to find out what needs to be done to serve alcohol.
Deanery Council: The meeting was canceled due to fog.
Old Business: Discussionwas held regarding the funds for the Bell Tower. Father informed the council that currently, $16,341.51 has been collected. A permanent platform has been constructed and paid for at a cost of $1,671.59. The digital items needed for repairs arrived and have been in the parish center for over a month.
Donations for the organ repair total $5,601.10 so far.
Regina Digmann suggested that the Finance Council, at their next meeting, set aside any money that was not used for the repair of the bell tower or organ, be placed in an emergency or unrestricted fund to take care of any repairs that may be necessary for these items or others that may arise. It was also suggested that the Finance Council come up with the rent to be paid on the Goldsmith duplex after finding out if it goes onto the property tax role. It was decided to give the Goldsmith’s a one-month grace period, have a security deposit, and have the rent go into effect on March 1, 2014.
At 8:00 P.M., Roman Manternach once again approached the council to present Project Moses. Roman presented this project at the Sept. 4, 2012 meeting, where he told the council that the Knights of Columbus would like to place a granite memorial with the Ten Commandments in the main body, the two Great Commandments below and the Beatitudes on the other, to be publicly displayed at the Southeast corner of the church/school playground. They will be in charge of the fundraising by offering smaller versions of these plaques to be displayed in the home as a daily reminder of what they say and stand for, with a donation of $35.00 for both plaques. The Knights feel if they sell around 400 of the smaller plaques for the home, they would have funds available to cover the rest of the cost. The Knights would like to make a presentation to the parish before the fish fry, so they could have a table set up to sell the small plaques then. Roman suggested that Maria White, Jo Ellen Schlarmann and Cindy Hall would be contacted to color coordinate the monument with the church. The Knights took the initiative to place a quarter of the amount down last year, to keep the current price. A motion was made by Gwen Kuper to place the Granite monument on the Southeast corner of the church/school playground. Regina Digmann seconded the motion. Motion passed.
Discussion was held as to utilizing the Rectory Dining Room and Kitchen for the youth ministry. Perhaps place a ping-pong table, foosball and air hockey in the dining area, and selling the table, chairs and hutch at the auction or at the fish fry. Jim Loes made a motion to utilize the rooms for the youth ministry. Dominic Hogan seconded the motion. Motion passed.
Lastly, the council addressed a letter it had not seen until the meeting, that Father wrote to Richard Schneiter concerning the playing of the musical instruments contained in our Church, namely the organ and/or the piano. Because Mr. Schneiter wants to be put onto the Pastoral Council’s agenda, and because of an incident that occurred preceding a funeral last fall. The consensus of the council was to write a message denying Mr. Schneiter time before the Council since all were in agreement with Father’s letter that was sent to Mr. Schneiter in October.
The meeting was adjourned at 9:20 P.M. The next meeting will be on Thursday, February 27, 2014. Please note that the starting time will be at 6:30 P.M. as Deacon Tom Lang will be here to address the Pastoral Council on the Archdiocese’s new Marriage Initiative.

The Sacred Heart Pastoral Council, met in the music room of the parish Center. Call to order was made by Co-Chair of Council, Chad Adams at 6:30 P.M. Those attending included: Father Baldwin, Jane Lawrence, Dominic Hogan, Alice Shimanek, Jim Loes, Regina Digmann, Gwen Kuper, and Chad Adams.

Committee Reports:
Board of Education: Gwen Kuper reported that the Board of Education decided if school is cancelled one more school day, Sacred Heart will have school April 21, 2014. If two or more additional days are needed for make-up, those dates will be determined later. The sales of meat packages from Edgewood Locker were very successful. Profit for the school is around $3,100.00. A restaurant night will be coming in the future as a school fundraiser.
Finance: Jim Loes reported that Peg Mere would be unable to take over as the Accounting Services Manager, as what was needed would involve a vast amount of time. The Finance Council has decided to retain Honkamp Krueger. One of their lead accountants is arriving on Friday. He will go back five months to audit the records and bring reports for the Finance Council up to date as soon as possible.

Parish Guild: Chad Adams reported that the fish fry will have coleslaw and fruit salad. Sign up is under way.
Deanery Council: Jane Lawrence reported that Deacon Tom Lang from the Task Force on Marriage gave a presentation on the Caring for Marriage initiative. Deacon Tom has been giving two hour presentations on marriage enrichment at the parishes throughout the diocese. Monsignor Toale spoke about Vocation Holy Hours. Father Quint reported on Operation Andrew Vocations Awareness dinner, which will be held at Loras College on March 12, 2014. A curriculum will be implemented in the fall of 2014 for high school faith formation. Preparation for Confirmation will continue to be a separate curriculum.
Old Business: Discussionwas held regarding the Bell Tower.Father informed the council that pieces to the bell are in the balcony and work should commence on March 10th. The goal is to have the bells ringing on Easter Sunday. Discussion was held regarding the Kiosk. It was suggested to give a date for it to be completed by and if it was not finished by then, cancel the order.
New Business: Project Moses is on indefinite stand still.

The Sacred Heart Pastoral Council, met in the music room of the parish center. Call to order was made by Co-Chair of Council, Chad Adams at 7:00 P.M. Those attending included: Father Baldwin, Jane Lawrence, Dominic Hogan, Alice Shimanek, Jim Loes, and Gwen Kuper.
The minutes from the February meeting were read. Alice Shimanek made a motion to approve the minutes. Jane Lawrence seconded. Motion passed.
Committee Reports:
Board of Education: Gwen Kuper reported that conferences would be held on Wednesday, March 26. The board is working on scholarships, along with introducing SCRIP online. There will be one member of the committee whose term will expire in May, so they will be looking for someone to fill that position.
Finance: Jim Loes reported on the progress made by Honkamp Krueger. Judy has been recreating and sorting out finances and has finished with July and August. Jane Lawrence will send a thank you note from the Pastoral Council to Judy as appreciation for the difficult job she has done and is doing to sort out the finances to make it easier when Honkamp Krueger comes back.
A report was given about the condition of the northwest tower on the church roof. The leak is so bad that the drywall is like mush. Barnhart’s will be asked for a bid to repair the damage.
A cement slab will be placed north of the church for the Marian Prayer Garden. This will not take place until the drainage has been properly completed. Since the cement will come out approximately 10 feet from the sidewalk; and, because this was not budgeted, additional funds will be needed to pay for this improvement.
Spiritual Life & Liturgy: Alice Shimanek reported that their committee is planning Holy Week and will be contacting parishioners to see who would volunteer on Holy Thursday for the washing of the feet.
Deacon Kyle Digmann’s first mass will be the only mass on Sunday, June 29, 2014 at 10:30 A.M. There will be not be an 8:30 A.M. mass that Sunday. There will be a 4:30 P.M. and a 7:00 P.M. mass on Saturday, June 28, 2014.
Parish Life Committee: It was reported that donations were made in the memory of Dan Kraus in the amount of $2,075.00, and in the memory of Bob Hunt in the amount of $500.00. Some of the money from these donations will be used toward the mission trip in June.
Parish Guild: Chad Adams reported that the sign-up for the fish fry has gone well and they are expecting a big crowd on Friday, April 11, 2014 from 4:30 P.M. until 8:00 P.M.
Deanery Council: Jane Lawrence had the Pastoral Council help her fill out a questionnaire for Archbishop Jackels.
Old Business: Discussionwas held regarding the repairs being made to the bell. Some parts had to be sent away for repair, however, it is hoped the bells will be ringing once again on Easter.
Discussion was held on the restoration of the organ. The new speakers have arrived and will be installed.
Discussion was held on the Stations of the Cross from the Immaculate Conception Church of Castle Grove. Three bids must be gotten in order to hang them in our church. Riehle Brothers from Cresco gave their opinion that not only would they have to be installed high on the walls, due to the height of each station, but that the 2 stations under the balcony would present a problem. Drilling into the wall would cause red dust from the old brick to accumulate on the newly painted walls of the church. Discussion was held as to suggesting to the parishioners of Immaculate Conception, that the statues be restored, and put into a weather proof stone grotto, around the cemetery at the church.
A motion was made by Dominic Hogan to thank Castle Grove for their generous offer to incorporate their former Stations of the Cross into Sacred Heart Church, but because it is cost prohibitive and the possibility of having to redo the church after it has been newly painted and restored, just makes this project unfeasible. Therefore, it is the suggestion of the Pastoral Council to create a Station of the Cross Garden in the Castle Grove cemetery. Chad Adams seconded the motion. Motion passed.
New Business: There will be elections to the Pastoral Council held in may. Candidates are needed to fill two seats because Jeff Monck and Alice Shimanek’s terms will end in May. If anyone is interested to volunteer to run for these positions, please contact the parish office.
New Committees of Faith Formation, Stewardship and Social Justice also need to be put into place. Please contact the parish office if you would be willing to help form and be on any of these committees.
Pastor’s Comments: Father received a letter from Archbishop Jackels informing him that he will be the pastor of St. Luke’s Catholic Church, Hopkinton, Iowa, beginning July 8, 2014. St. Luke’s will be linked with Sacred Heart. This assignment has a 5 year term, with the possibility of being renewed once for another 6 years along with Sacred Heart. Father informed the council that he will be installed at St. Luke’s in the same manner as when he was installed here at Sacred Heart.

The Sacred Heart Pastoral Council, met in the music room of the parish center. Call to order was made by Co-Chair of Council, Chad Adams at 6:30 P.M. Deacon Mark & Mrs. Rosann Sandersfeld gave an archdiocesan presentation on Marriage Enrichment and the programs and resources that are available to parishes to strengthen its ministry to marriage.

Committee Reports:
Board of Education: Gwen Kuper reported that there were 9 applicants applying for scholarships. Six of our seniors will be awarded the Carpenter scholarships from Sacred Heart on Honors Night.
Finance: Jim Loes reported that the Sales Tax was not paid from the Fall Festival. Father and Judy are working on this with the State of Iowa. Honkamp Krueger has been here to assist to re-construct our accounts. To date, they have spent nine hours at $172.00 per hour. Judy is working to get our accounts reconstructed in quick books.
John Schlarmann is a new appointee on the finance council.
The Archdiocesan Audit report will be given at the May meeting.
Bids are being taken for the installation of security cameras on the exterior of the Church.
A cement slab will be placed north of the church for the Marian Prayer Garden. This will not take place until the drainage has been properly completed. Since the cement will come out approximately 10 feet from the sidewalk and since this was not budgeted, additional funds will be needed to pay for this improvement.
Spiritual Life & Liturgy: Father reported that Holy Week was well attended.
Thursday, May 1, 2014, will be May crowning at the 10:30 A.M. mass, which will also be Grandparents Day mass. Names were drawn among the sixth grade class for the honor of this ceremony. Robby Holmes will carry the crown for the Blessed Virgin, and Kacie Bayne will place the crown the head of the Blessed Mother.
Discussion was held on the Thanksgiving Mass to be held by Kyle Digmann on Sunday, June 29, 2014 at 10:30 A.M. There will be not be an 8:30 A.M. Mass that Sunday. There will be a 4:30 P.M. and a 7:00 P.M. Mass on Saturday, June 28, 2014.
Parish Life Committee: A Post Prom breakfast will be served after the 3:15 A.M. mass on Sunday, April 27, 2014. The Confirmation mass will be held Sunday, May 18, 2014 at 3:00 P.M. with a reception for the Archbishop and families in Newman Hall to follow. Holy Hour will be Saturday, August 2, 2014 at 9:00 A.M. with the Archbishop and 2 Seminarians. A reception will be held in Newman Hall
Parish Guild: Chad Adams reported that they served 1,252 dinners for the fish fry, which was an increase of 211 from last year. They will be meeting later this week to put together a report of the earnings made.
Deanery Council: Jane Lawrence will give a report at the May meeting.
Old Business: Discussionwas held regarding the repairs being made to the bell. Some parts had to be sent away for repair, and hopefully we will hear the bells by the end of May.
Discussion was held on the restoration of the organ. The new speakers have arrived and are being painted and will be installed behind the lights in the sanctuary.
Discussion was held on the Sanctuary Lamp removed from Immaculate Conception Church of Castle Grove. Father informed the council that Father Loecke would like to incorporate the lamp into the remodeling that is taking place at St. Patrick’s Parish in Garryowen. Kevin Miller said he would loan it to the parish, but if the parish ever closed, he or someone from his family, would like to have it returned to them.
Discussion was held on the Stations of the Cross from the Immaculate Conception Church of Castle Grove. Kevin Miller requested to be placed on the agenda in May to provide additional information from contractors on the installation of the stations at Sacred Heart. Jeff Monck made a motion that the Pastoral Council is standing by its decision made at the March meeting. However, it is strongly suggested that Father Baldwin inform parishes that may be remodeling or building, that these stations would be available for use in their church, which would be a sacred, holy building to house and protect them. Gwen Kuper seconded the motion. Motion passed.
New Business: There will be a meeting of the Pastoral Councils, Finance Councils, and Liturgy Committees for Sacred Heart and St. Luke on Sunday, May 4, 2014 at 6:00 P.M. The Councils will be deciding on beginning Mass schedules, division of compensation for Father Baldwin, combining bulletins and other concerns.
There will be elections to the Pastoral Council held in May. Candidates are needed to fill two seats because Jeff Monck and Alice Shimanek’s terms will end in May. If anyone is interested to volunteer to run for these positions, please contact the parish office. The new Committees of Faith Formation, Stewardship and Social Justice also still need to be put into place. Some interest has been shown but others are asked to please contact the parish office if you would be willing to help with the formation of any of these committees.
Pastor’s Comments: Youth Ministry is progressing well. An open house will be coming perhaps in June or July. The 100th Anniversary of Sacred Heart will be planned by the Liturgy Committee to be held in late September or early November.

Sacred Heart Pastoral Council Minutes for Tuesday, May 27, 2014
The Sacred Heart Pastoral Council, met in the music room of the parish center. Call to order was made by Chair of the Council, Jeff Monck at 7:05 P.M. Those attending included: Father Baldwin, Dominic Hogan, Jim Loes, Regina Digmann, Chad Adams, Alice Shimanek, Gwen Kuper, Dale Hosch and Clint Gray.

Committee Reports:
Board of Education: Teacher contracts have been approved. We are in need of a Second Grade teacher who is Catholic, since the Sacrament of Penance and Eucharist are taught, as Mrs. Williams will be leaving that position. A part-time teacher for the three year old pre-kindergarten teacher is also needed.
Finance Council: One of the three top accountants, Jeff Balterra, from Honkamp Krueger, has visited with Judy twice now, once for a full day and once for a half day, to assist in setting up Quick Books onto her computer and working to make sure things are properly entered by using the Archdiocesan Chart of Accounts.
The budgeting process for 2014-2015 will be postponed until May 28th when that committee meets. Afterward, the budget will be e-mailed to members of the Pastoral Council for approval. Each member will vote as a reply to all for approval and e-mail back to Father so we have these as verification.
Father Paul updated the council on the Archdiocesan audit. Everything has been approved and implemented.
Buildings and Grounds:
Storm damage from the hail received Tuesday, May 20, 2014, was discussed. Father has contacted Brock Barnhart for an estimate for work that needs to be done on the three buildings that had damage. He will contact two other people to see if they want to bid.
A security camera for the North, South and West side of the church was discussed. Cliff’s Radio & TV, along with RC Systems of Cedar Rapids will be asked to bid for these. The camera will be digital and will have storage capacity of up to four days.
The cement slab north of the church for the Marian Prayer Garden will be discussed with Accent Construction by Jeff Monck. Because of the rain earlier, it was just to muddy to try to get started with the project.
Spiritual Life & Liturgy: Kyle Digmann’s First Mass will be the 29th of June.
Parish Life Committee: This committee has been involved in the following:

Parish Guild: Chad Adams reported a profit for the fish fry. They are trying to plan the fall festival for the evening of Saturday, September 27, 2014. When they get the venue chosen, a full report will be given to the council.
Discussion was held for the Saturday evening mass on July 19, 2014. Since parking will be needed for the entertainment for the Jones County Fair that evening, the council decided to only have the 4:30 P.M. mass that evening.
Old Business: Update on the bell repair was given by Father. All of the parts are here. Installation will be made when Verdin’s schedule permits.
Update on the organ restoration was made by Alice Shimanek. The speakers are painted to match the side walls and a new grill cover has been installed. They are waiting for electrical installation to be made when schedules permits.
New Committees: The Faith Formation Committee will consist of: Jeff and Shielly Monck, Ed and Connie Goldsmith and Doug and Julia Bean others are welcome to join. We are still in need of someone for Stewardship and Social Justice.
New Business: The members welcomed the new members to the Pastoral Council; Clint Gray and Dale Hosch. Everyone thanked the outgoing members, Jeff Monck and Alice Shimanek for their service on the council.
Discussion for selecting and appointing the Chairperson to the Pastoral Council was held. Nomination of Chad Adams was made by Alice Shimanek. Jim Loes seconded the motion. Since no other nominations were made, motion passed. Nomination to the Vice-Chair was made for Dominic Hogan by Gwen Kuper. Clint Gray seconded the motion. Since no other nominations were made, motion passed.
Because the Secretary for the Pastoral Council is not an elected position, Jeff Monck asked Becky Hogan if she would agree to continue as the recording secretary. Becky agrees to do so.

Sacred Heart Pastoral Council Minutes for Tuesday, August 26, 2014
The Sacred Heart Pastoral Council, met in the Parish Office Multi-Purpose Room on Tuesday, August 26, 2014. Call to order was made by Vice Chair of the Council, Dominic Hogan at 7:00 P.M. Those attending included: Father Baldwin, Dominic Hogan, Jim Loes, Regina Digmann, Gwen Kuper, Dale Hosch and Jane Lawrence.

Committee Reports:
Board of Education: There are presently 82 students enrolled in the school.
Finance Council: A motion was made by Father Baldwin to enter into the minutes, the fact that the 2014-2015 budget was voted on by all members of the Pastoral Council through e-mail correspondence. Gwen Kuper seconded the motion. Motion passed. Lisa Boysen has been hired as custodian on a 90 day probationary period. She will be working approximately 30 hours per week. Bids from Brock Barnhart and Rich Earles for repairs from hail damage were discussed. Tri-County Construction had the low bids on the duplex and office for roof, siding and gutter repairs.
Spiritual Life & Liturgy: The Franciscan Sisters, who served Sacred Heart parish for many years, are celebrating their sesquicentennial and will visit here on Saturday, September 27, 2014, at the 4:30 P.M. Mass. Since this is also the night of the parish Fall Festival, a motion was made by Gwen Kuper to cancel the 6:30 P.M. mass for that evening. Jim Loes seconded the motion. Motion passed. There will be a wedding at the 4:00 P.M. mass on Saturday, October 4, 2014. Because of this, the second mass that evening will be held at 7:00 P.M. The centennial of our church building, along with the rededication blessing of the bell and organ, will be on Sunday, October 5, 2014 at the 10:30 A.M. mass. The Parish Life Committee will plan for a potluck dinner to be served immediately following the mass.
Father reported that the stand in the sanctuary for the Book of Intercessions, was made and donated by Tom Nehl. Tom is also building wooden boxes to hold plants, etc.The Liturgy Committee will meet with St. Luke’s Liturgy Committee on Thursday, September 4, 2014 to set up the schedule for the fall and winter Holy Days and Holidays. A count at all the masses will be taken from August through December to help determine a schedule for St. Luke’s and Sacred Heart.
Parish Life Committee: Report given on the August 2nd Holy Hour with the Archbishop and Seminarians with a breakfast brunch served afterwards.
Parish Guild: Gross receipts from fair parking yielded $3,281.00 this year. The Fall Festival date is September 27, 2014, at the Youth Development Center. Edgewood Locker will be providing the meat this year.
Deanery Council: A Maternity Home in Dubuque, Mary’s Inn, hopes to be in operation by the summer of 2015. The home will provide a safe haven for pregnant women of any age and any faith. The Archdiocesan Pastoral Council is one of the key consultative bodies to the Archbishop. It is comprised of representatives from each of 11 Deaneries, plus representatives of key groups, for a total of 21 members. In 2014-2015, the Archdiocesan Pastoral Council (APC) will transition to a new method of selecting members who represent Deaneries. To date, those representatives have been chosen from the members of the Deanery Council. That method will be replaced by a nomination process from pastors within the Deanery. Pastors will nominate qualified candidates by completing the nomination form and submitting to Dan Rohner either via Survey Monkey or on paper. Dan will collaborate with the Dean to select a representative from the nominations received. 2014-2015 Scheduled Meetings are: Saturday, September 27, 2014 10:00 A.M. to 2:00 P.M. and Saturday, March 28, 2015. Meetings are held at the American martyrs Retreat House, Cedar Falls, Iowa. Members serve a 3 year term, renewable once. Special meetings may be called, if necessary. Since the Deanery Council and Archdiocesan Pastoral Council meetings no longer will be coordinated, alternate methods of communicating between parishioners and the Archdiocese will be used. Communication will include on-line and paper surveys, social media, postings on the Archdiocesan Website, and articles in The Witness.
Old Business: Discussion was held concerning the stations from Immaculate Conception, Castle Grove.
New Business: Father would like to update the Parish Pictorial Directory. He uses it quite frequently to get to know the members of both parishes. Sacred Heart’s last directory was in 2010; St. Luke’s last directory was in 2004. Life Touch, which bought out Olin Mills, will be in charge of taking the pictures. Dominic Hogan reported on the Christ Our Life Catholic Regional Conference, which will be coming to the Wells Fargo Arena in Des Moines, Iowa, on Saturday and Sunday, September 20 and 21, 2014. The Sacred Heart and St. Luke’s Catholic Church councils, met in Newman Hall with 26 total members present. Father Baldwin began the meeting at 6:30 P.M. with a prayer.
Discussion was held concerning the online and paper survey for mass schedules for both parishes. Discussion was held concerning rotating the mass either every 3 months or every 6 months, along with celebrating 3 masses. According to the survey, most parishioners preferred a 6 month rotation schedule and 3 masses. Regina Digmann made a motion to rotate the mass every 6 months with Father celebrating 3 masses. Alice Shimanek seconded.
Motion passed.
Discussion proceeded to the mass times. Questions were considered on the determining factor for success or failure with the mass change. Pat Recker made a motion to count parishioners the first month of each quarter, January, th
April, July and October. If a month has 5 weekends, the 5 weekend will not be counted. Clint Gray seconded. Motion passed.
Discussion was held concerning mass times on Sunday. Jane Lawrence made a motion to leave the mass schedule time for Sunday morning at 8:30 A.M. and 10:30 A.M. Pat Recker seconded. Motion passed.
Dale Hosch made a motion to rotate the 8:30 A.M. and the 10:30 A.M. mass between Sacred Heart and St. Luke’s by beginning in January, and then th rotating in the 6 month, which would be in July. Pat Recker seconded.

Clint Gray motioned to change the Saturday evening mass at Sacred Heart to 5:00 P.M. for one year. Motion passed.

Sacred Heart Pastoral Council Minutes for Tuesday, August 6, 2013
The Sacred Heart Pastoral Council and Finance Council meeting was called to order at 7:00 P.M. The meeting took place in the conference room of the parish center. Call to order was made by Chair of Council, Jeff Monck. Those attending included: Father Baldwin, Ed Goldsmith, Alice Shimanek, Jane Lawrence, Dominic Hogan, Jim Loes and Gwen Kuper. A prayer was offered by Father Baldwin.
The minutes from July 12th meeting were amended to read “the children’s mass will stay on Thursday mornings at 8:15 A.M. unless otherwise posted.”
Committee Reports:
Board of Education: School enrollment is being held.
Finance: A report was given by Jim Loes.
Spiritual Life and Liturgy: The votive candles are back and all but two are lit!
Parish Community Life: Bible school meals for August 5 and 6 are being prepared by this group.
Parish Guild: This group parked cars during the Great Jones County fair with a profit of $2,200.00 from this project.
Project Committee: A walk through was held.
Deanery Council: Jane attended a Webinar on the internet. The next meeting will be Tuesday, August 13, 2013.
Pastors Report: Father reported that a gift from the estate of Mary Maxine Redmond in the amount of $11,199.61 was received by the parish.
In meeting with Dale Hosch, Bob Kehoe and Jim Ries, representatives of Immaculate Conception Parish, Castle Grove, it was decided to dissolve several of the accounts.
Savings Account: This account has .18 as a balance. This will be given to the Immaculate Conception Cemetery checking account.
The Plant Maintance account: This account had a balance of $155,291.20.
It was decided to keep $25,000.00 to preserve religious artifacts.
The remaining $130,291.20 will be given to Sacred Heart to pay down the mortgage on the duplex.
Cemetery General Fund: This account is managed by the Sacred Heart Cemetery Board. Funds are kept separate so the cemetery at Immaculate Conception can be maintained in perpetuity. Only the interest can be withdrawn from this account to pay for cemetery maintenance. To be sure that all of the transfers of funds are competed and the numbers are correct with Dubuque and the bank, Father Baldwin will give a final accounting of the Castle Grove Cemetery accounts at our next meeting
Rededication of the Immaculate Conception monument in the cemetery will be at 2:00 P.M. on Sunday, August 25, 2013. All former parishioners of Castle Grove are invited to attend.
Father will personally deliver letter of severance on Thursday, August 15, 2013 to Kim Sauser. Penny has not received all auditing materials that she needs.
Kyle Digmann will be here over the Labor Day weekend to offer reflection at each of the masses. His first mass will be at Sacred Heart Church on Sunday, June 20, 2014 at 1:00 P.M.
There will be a curriculum change in the Confirmation class.
There will be a change in the wine at all mass celebrations. Father has selected Stone Cliff Wineries, which is an approved wine, by the Archdiocese of Dubuque. If we send 20 people on three weekends in September following Labor Day to pick the grapes, from 8 until Noon, we receive 4 free cases of wine.
The Archdiocese will hold a young adult ministry summit for 18 to 39 year olds on Saturday, October 5, 2013.
Report from Ed Goldsmith: He has been granted his faculties for ministry as a deacon. He is now able to perform weddings, funeral masses and baptism. He will be helping Father Baldwin at some of the masses.

The minutes from the August 6th meeting were amended to read ‚ “The balance of the Savings Account at Immaculate Conception is $.18 this should read ‚ Account 3575H:
Savings ‚ the deficit of (.18) as of 6-30-13 is to be written off by the Archdiocese.
COMMITTEE REPORTS:
Board of Education: Gwen Kuper reported that some parents wish to home school their children instead of sending them to CCD classes. They will be required to pay the $125.00 tuition and are responsible to get books and religious materials for each grade level. Home schooling is not accepted during a sacramental year, for example First
Communion and Confirmation.
Finance: A report was given by Jim Loes. An upgrade of the wireless microphone was donated and installed by Kevin Smith. A letter of appreciation will be sent to him.
Liturgy: Discussion centered upon Christmas mass times, communal reconciliation, change out of the votive candles from oil to wax along with a discussion of a summer/winter mass schedule. The Pastoral Council discussed the change of the Saturday evening mass. Jim Loes made a motion to change the evening mass to 7:00 P.M. beginning March 15, 2014 and have it remain at this time frame until September 15,
2014. Alice Shimanek seconded the motion. Motion passed. Parish Community Life: A lunch will be served to the cemetery workers on Saturday, September 28th. A function
will be planned for the return of the National Catholic Youth Conference group.
Parish Guild: They had the best sign up and greatest response ever for the Fall Festival! A special ‚thank you‚ to Father Baldwin for his enthusiastic support, along
with his challenge to our parish for a large turn out!
Project Committee: No report.
Deanery Council: An audit is occurring to check compliance on Virtus training. A report on Catholic Charities work was given. A report from the Archdiocesan
Faith Formation and Education Division was given. Some of the other parishes/clusters are using these activities/materials to unify their faith communities and for Spiritual Renewal or Adult Evangelization:
– Choose someone who hasn‚’t been attending Mass and
invite them back to Mass.
– Draw names of parish families and pray for them for a
month. Draw a new name the next month.
– Choose a ‚Volunteer of the Month‚
– Read Catholics Come Home by Tom Peterson and Scott Hahn
– Invite fathers to watch the movie “Courage” as a group
– Read “Confessions of a Megachurch Pastor” by Allen Hunt
– Watch the DVD A Biblical Walk Through the Mass
OLD BUSINESS:
Father will look into the Castle Grove artifacts sometime this week.
Discussion was held concerning items needing attention
that was not planned for when the budget was made. Such items include:
The church bells. After consultation with the Verdin Company, it was learned that upgrades of the bells in the church tower probably hadn’t been done for at least 30
years. The estimated cost of repairing would be around 13,000.00.The Rodgers Church Organ. Carma Lou Beck gave a retail price of $5,236.40. Since West Music is going out of the speaker business, the price to our church would be $2,968.00. Wiring would not be included. The motherboard on the Clavinova needs to be replaced.
A smart board needs to be purchased and placed in the basement of the new addition.
Give parishioners an idea of what the votive candles cost. A movable kiosk is needed in the gathering place for display of posters and other paper materials.
The Knights of Columbus would like to build ‚ Project Moses‚ a display of the commandments. In other matters: Bryan and Tricia Britt removed the handicap markings on the south side of the Church and in the parking lot. A thank you note will be sent to them. Mitch Monk will repaint the stencils in the parking lot along with the lines for the spaces. Father met with Carol Vorhies with the quilters about their storage cabinets. There are two locations in the Church that would work for the installation of the donated doors, along with the metal shelving that has already been purchased. The quilters chose to have them built in the boiler room next to their existing cabinet.
Cleaning the glass window in the new addition. Alice reported that the person she contacted does not clean church windows. It was suggested to send a parish thank you‚ to Monsignor Toale and Archbishop Jackels thanking them for sending us Father Baldwin and approving Ed Goldsmith as our Deacon. Pastors Report: Father will be working on organizing a scripture study group. Report from Deacon Ed Goldsmith: A privacy fence along the South side of his duplex has been donated. Sacred Heart Pastoral Council Minutes for Tuesday, November 26, 2013
The Sacred Heart Pastoral Council was called to order at 7:05 P.M. The meeting took place in the conference room of the parish center. Call to order was made by Chair of Council, Jeff Monck. Those attending included: Father Baldwin, Jane Lawrence, Dominic Hogan, Jim Loes, Regina Digmann, Gwen Kuper and Chad Adams. Also in attendance from the Finance Committee were: Mike Jesenovec and Pat Recker.
The minutes from the October meeting were read and approved.
Committee Reports:
Board of Education: Minutes from their meeting of Nov. 12th were read.
Finance: A report from Nov. 15th was passed out.
Spiritual Life & Liturgy: A report from their meeting of Nov. 7th was read. NCYC will talk to the Sacred Heart 6th grade class about their pilgrimage to Indiana and how it has influenced their lives. They will be invited to speak to the Wednesday evening CCD classes also.
Parish Life Committee: Cookies and water were distributed after the 10:30 A.M. mass for parishioners to enjoy while receiving prayer cards from the NCYC youth and adults who would be leaving on Thursday, Nov. 21st.
Parish Guild: No report
Deanery Council: No meeting until December.
Old Business: The kiosk will be here by Christmas. The cost will be $800.00.
New Business: Sacred Heart will be participating in the Share & Care program.
The church bells are all paid for thanks to the donations from parishioners! There are funds available to help pay for electrical and other materials needed to complete the installation. It will be a joy to hear the ringing of the bells again! Thank you to everyone!
Envelopes will be placed in the gathering area for those wishing to contribute to the electrical, along with speakers, etc., for the organ.
The Saturday evening Mass times will be voted on by the parishioners for the trial period beginning March 15, 2014 and ending September 15, 2014. Times to be voted for are: 4:30 P.M., 5:30 P.M. or 6:00 P.M. Father would like to see how the parishioners respond to the new schedule and then evaluate this at the Pastoral Council meeting in October of 2014.
Father is having Gene Wall from Wall to Wall Construction come to look at the associate suite in the Parish Center to estimate the removal of the closet and wall between the rooms and make it one large area for youth ministry space.
Deacon Tom Lang will attend the Pastoral Council meeting in January to promote marriage enrichment.
A motion was made by Jeff Monck to go into Executive Session. Alice Shimanek seconded. Motion passed.
A motion was made by Chad Adams to come out of Executive Session. Jane Lawrence seconded. Motion passed.
The following motions were made after closing the executive session of the meeting.
A motion was made by Jim Loes to hire Honkamp Krueger effective December 15, 2013, to process the payroll. Alice Shimanek seconded. Motion passed.
A motion was made by Gwen Kuper to reduce the business manager’s salary commensurate with reduction in job duties. It was seconded by Jane Lawrence. Motion passed.

Sacred Heart Pastoral Council Minutes for Tuesday, October 22, 2014
The Sacred Heart Pastoral Council was called to order at 7:05 P.M. The meeting took place in the conference room of the parish center. Call to order was made by Chair of Council, Jeff Monck. Those attending included: Father Baldwin, Deacon Ed Goldsmith, Jane Lawrence, Dominic Hogan, Jim Loes and Gwen Kuper. Absent were Chad Adams, Regina Digmann, and Alice Shimanek
The minutes from the September meeting were read and approved.
Committee Reports:
Board of Education: Gwen Kuper reported that currently 94 students are enrolled at Sacred Heart School this year. The pre-school finances have changed since the State of Iowa took over the 4 year old programs. There will be no state subsidy for October.
Finance: Deacon Ed gave a report.
Liturgy: Communal Anointing will be given at the Masses on Saturday, October 26 and Sunday, October 27.
Fall Communal Reconciliation will be Sunday, December 1 at 4:00 P.M. followed by an Agape Meal of chili.
Holy Day schedule: Friday, Nov. 1 – All Saints Day – School Mass at 8:15 A.M., plus, a 5:30 P.M. Mass.
Saturday, Nov. 2 The deceased members of Sacred Heart parish will be remembered with a candle lighting ceremony at the 4:30pm Mass. The candles will be displayed throughout the month of November.
Thursday, Nov. 28 – Thanksgiving – Mass will be at 9:00 A.M.
Sunday, Dec. 8 – Feast of the Immaculate Conception – Not obligatory because it falls on Monday.
Tuesday, Dec. 24 – Christmas Eve – Masses will be at 4:00 P.M., 6:30 P.M. and Midnight.
Wednesday, Dec. 25 – Christmas Day – Mass will be at 9:00 A.M.
Tuesday, Dec. 31 – New Years Eve – Mass will be at 5:30 P.M.
Wednesday, January 1, 2014 – New Years Day – Mass at 9:00 A.M.
Celebration Series for incorporating psalms for the liturgical season will be used during Advent. An in-service will be held for Liturgical Ministers on Wednesday, Oct. 23 and Wednesday, Oct. 30 in the Church at 7:00 P.M.
Father will send letters to parents beginning with fourth grade on up to recruit mass servers. Server training will follow in small groups.
Parish Life Committee:
Parish Guild: The Fall Festival was well attended with the number of dinners served going up again this year. Net income $14,254.38. This is a record number for the Fall Festival. Thank you to all those who volunteered and attended the festival.
Project Committee: A parish walk-thru noted a broken window in the boiler room. Discussion was held to face the Blessed Virgin statue in the reflection garden to the North, add concrete, set the bench and landscape the area. Discussion was held as to placing a trash bin near the playground as plastic containers, dirty diapers, along with other items have been found by the school children during recess.
Deanery Council: No meeting until December.
Old Business: A report was given that the Verdin Company quoted $13,563.00 to repair the bells. They required a 20% down payment of $2,700.00 so that parts could be ordered for repairs needed. The opening to the bells will be made 4 feet by 4 feet so that it is easier to access. Envelopes will be placed in the pews for parishioners to return with their donation toward the repair of the bells. The balance of the repairs will be due by June 2014. Discussion was held as to the repair needed for the organ. Since finding someone to play the organ is difficult, perhaps repairs should be tabled. Discussion was held on replacing the Clavinova, a $3,630.00 cost.
Father has placed a letter in the bulletin regarding the need to organize Faith Formation Commission, Stewardship and Social Justice committees as part of the Pastoral Council. Father has had a few responses and hopes for more.
Discussion was held on the quilter’s cabinet/shelving space. The space next to where the current cabinet is in the boiler room will be utilized.
Deacon Ed gave an update on the cost for the moveable kiosk for the gathering area. The person, who will be building it, uses reclaimed lumber and hardware and will not charge for labor. The cost will be $700.00. A motion was made by Dominic Hogan to purchase the kiosk. Jim Loes seconded the motion. Motion passed.
New Business:
October count numbers are being taken weekly and are up from last year. Discussion was held concerning the policy Sacred Heart has on loaning or renting tables, chairs, roasters or any parish equipment. Because of liability concerns, the Archdiocese strongly prohibits this practice. A motion was made by Jane Lawrence that Sacred Heart not loan or rent any of its tables, chairs, roasters or any parish equipment. Jim Loes seconded the motion. Motion carried. The National Catholic Youth Conference group will be involved in the 10:30 A.M. mass on Sunday, November 17. The Parish Life Committee will serve cookies and bottled water in the gathering area, for parishioners to share or take with them after the Mass. The NCYC participants will be available to visit with in the Gathering space so the people can wish them well on their journey to Indianapolis. Sacred Heart will be participating in the Share & Care program prior to Christmas. More details will be available next month. Snow shoveling and lawn mowing contracts were discussed. It was noted that it would be necessary to add snow removal for around the school, duplex and front step entrance to the Church. The council went into Executive Session with staff leaving. Father will keep the council informed as to the items shared during this session. The meeting was adjourned at 9:10 P.M. The next meeting will be on Tuesday, November 26, 2013.
